Administrative Assistant
Job Requirements

As a Administrative Assistant, you must be confident, outgoing and self-motivated with a strong work ethic. You must also be a team-oriented person who is open minded and willing to learn, and who has the ability to function effectively in a fast-paced, high-volume work environment. It is also vital for your role as a Administrative Assistant that you are articulate with excellent verbal and written communication and interpersonal skills and the ability to easily establish rapport with newly hired employees.

ESSENTIAL JOB FUNCTIONS:
  • Providing general administrative support to the branch manager and operations manager, in recruitment including responsibility for all new hire paperwork and ensuring all paperwork is complete before new hires start date.
  • Drafting memos, emails, etc. in response to queries, complaints and requests for assistance.
  • Performing routine clerical duties including the processing of mail, filing, scanning, photocopying, faxing, data entry, scheduling of meetings and trainings related to recruitment procedures.
  • Performing any other supporting tasks assigned by the supervisor and/or manager.
  • Document preparation – new hire paperwork; all tests, and required documentation; ensuring all paperwork is signed off on and organized.
  • Bill payment and monthly credit card statement reconciliation
  • Ensuring all candidates pass pre-screens and all other contract requirements and complete paperwork properly before start date.
  • Input applicant’s information into database(s).
  • knowledge of payroll processing to serve as a backup for employee weekly payroll

Specific qualifications for the administrative assistant position include:
  • Strong attention to detail
  • Should have the initiative to carry out tasks and follows process guidelines.
  • Exceptional time management, organizational, and computer skills.
  • Self-Motivated a must
  • Takes ownership of duties and other tasks as assigned
  • Must be able to manage highly confidential information
  • Intermediate skills with MS Office tools
  • Impeccable attendance
  • High School Diploma or GED.
  • Must be dependable, flexible, and people-oriented.
  • Excellent oral and written English skills.
