Job Type: Full Time Position Summary:

The Administrative Assistant is responsible for providing administrative and clerical support to the Advertising Department. Duties are complex in nature, involve heavy coordination and access to confidential information. Ability to exercise considerable discretion and independent judgment is critical.

The Administrative Assistant is responsible for scheduling and coordinating complex meetings and events as well as managing Outlook calendars. This position is responsible for developing travel plans, managing expense reports, and organizing team materials and information (reference materials, org charts, etc.). This individual will compose correspondence, reports, spreadsheets, PowerPoint decks and other complex documents and reports. Additionally, the Administrative Assistant is responsible for tracking department expenses, provide support for team related to security, facilities management, IS, and other systems support (Egencia, Ariba, etc.). They will also share broader responsibilities and support functions with administrative team within department and building, to ensure steady coverage. Additional responsibilities include coordinating supply ordering, MACD and equipment requests for the teams, provide support to Advertising team for RUMBA codes, managing special assignments as assigned and other duties/functions as deemed necessary.

Required Qualifications:

* 3-5

years Administrative Assistant experience

Proven ability to manage, work, and make progress with a high degree of

accuracy and attention to detail in a fast-paced environment with

multiple simultaneous priorities

Ability to plan and arrange work independently with minimal supervision

and to complete assignments within established schedules and deadlines

Ability to exercise considerable discretion and independent judgment

Must be self-starter, fast-mover, self-directed and possess excellent

organizational skills

Excellent oral, written and interpersonal communication skills

*

Must be able to communicate effectively with all levels and prepare

effective written documents

Proficiency with Microsoft Office programs including Excel, Word, and PowerPoint

Preferred Qualifications:
