Responsibilities* Reporting directly to the Executive Director for Finance and Administration (EDAF) in the Medical School, the Executive Secretary Senior will:

Provide highly skilled and complex administrative support for the EDAF. The highest priority of this position is management of a complex calendar and preparation for meetings. This includes using judgment to independently seek needed information and determining whether the EDAF needs other individuals to be included for the effective management of time.

This position is also responsible for complex scheduling of meetings related to the management of the Medical School?s budget cycle. These meetings do not always include the EDAF but are scheduled on behalf of the finance team with the Dean, department chairs and other key leaders responsible for oversight of the school?s finances.

Maintain complex yearly agenda work plan for multiple monthly meetings, including the Chief Department Administrator group, Finance Advisory Committee, and Senior Administrative Staff team meetings. Seek information (handouts, slides, etc.) as needed to complete the agenda, poll members for attendance, as well as schedule and prepare the conference room.

Other meetings of similar complexity as assigned.

Draft and prepare correspondence for the EDAF. Proofread documents prepared by others on behalf of the EDAF.

Edit, prepare and maintain PowerPoint, Excel and Word document materials for the EDAF.

Plan travel itineraries, books flights, hotels and accurately reconcile expenses using Concur.

Reconcile SOAs under the responsibility of the EDAF. Handle general office duties including answering telephones and responding to inquiries, supply ordering, PO and non-PO vouchers and other duties as assigned.

Required Qualifications* A minimum of 7 years of experience in an administrative support capacity.

Excellent verbal, written and interpersonal skills.

Excellent organizational, multi-tasking skills.

Ability to work independently and regularly exercise sound judgment in setting priorities.

Proficient in use of Microsoft Word, Excel, PowerPoint and Outlook or similar applications.

Strong customer service focus.

Demonstrated ability to produce professional correspondence.

Bachelor Degree or an equivalent combination of education and experience is necessary.

Desired Qualifications* Knowledge of University and Medical School policies and procedures.
