Job Summary The Administrative Assistant will be a full member of the Department of Care Management and Capacity Management, reporting to the Senior Director, Medical Director and Associate Director of Care Management and Associate Director of Capacity Management.. This person will provide general administrative support to the project team keeping a strong, customer-focused and can-do attitude.
Because of the externally-facing nature of the program, it will be important that the Administrative Assistant exercises considerable discretion and independent judgment. S/he must be capable of analyzing complex information requests, determining complex trends and paths forward, and problem-solving to a good result. Multi-tasking will be a day-to-day reality. S/he will many times be the first point of contact for both internal and external customers wishing to inquire about the program, so a customer-service approach to work will be a key to success.
Responsibilities* Understand Care Management department resources and connections
Provide Administrative support to members of the Care Management leadership team
Calendar management for medical director, senior director and associate director and project manager
Schedule and staff care management meetings including production of minutes
Schedule and staff Utilization review and other committee meetings as designated by senior director and medical director
Assist in production of reports, presentations and manuscripts for the program
Interact with Care Management project manager and data analyst and assist in production of reports, communication and documents
Meeting room management
First line customer contact (phone, email)
Travel and expense reports
Process payroll and reconcile gross pay registers
Office equipment and supply management
Other administrative support to care management leadership as assigned
Required Qualifications* High school degree required
Minimum of 4 years of work experience in admin asst role
Experience in customer-focused functions
Strong organizational skills with demonstrated attention to detail
Self-starter with an ability to set priorities,
Ability to interact effectively with a wide variety of people
Ability to act effectively both independently and as a member of a team
Flexibility to meet changing priorities
Fluency with Microsoft Office (Excel, Word, Powerpoint)
Desired Qualifications* Bachelor's degree
Previous experience with healthcare organization
