Job Summary Provide comprehensive, highly responsible and skilled administrative support to faculty and residents in the Department of Oral & Maxillofacial Surgery/Hospital Dentistry with a service-oriented attitude and attention to detail.

Responsibilities* Provide general and complex administrative support for faculty and residents including Concur expense report preparation, travel management, daily calendar management and meeting scheduling. Manage daily mail, shipping, faxes, memberships and miscellaneous paperwork. Assist with resident interviews. Assist in planning and arranging for visitors including preparing travel itineraries and background materials. Arrange catering for meetings and events, including set-up and clean-up. Maintain call schedule. Answer incoming department patient phone calls on multi-line phone, ensuring current and potential patients are routed to the proper department contact for assistance and resolution. Hold a P-Card, process purchase orders, non-PO vouchers, and credit card purchases. Work in M-Pathways to reconcile accounts and P-Card statements. Order medical/office supplies, and maintain office supply inventory. Provide backup to Administrative Assistant Senior and other administrative personnel as needed. Other duties as assigned.

Required Qualifications* Associates degree and 4 years of successful administrative experience. Must be able to successfully take initiative, work independently and follow through on multiple job responsibilities. Excellent oral and written communication skills. Excellent attention to detail. Demonstrated computer skills including Microsoft Office programs. Customer-centered perspective and team-oriented collaboration. Knowledge and ability to exercise appropriate judgment. Excellent organizational and interpersonal skills. Ability to handle a variety of tasks, set priorities and meet deadlines. Candidate must possess an excellent attendance record.

Desired Qualifications* Bachelors degree and four years of a proven track record of providing excellent administrative support to faculty. Previous administrative experience in an academic medical center. Understanding of University policies and procedures. Experience with Outlook, Concur, M-Pathways, Careweb, and MiChart. Knowledge of medical terminology.

Work Schedule Hours: Monday-Friday, 8am - 5pm
