Position Summary:

Under the direction of the Lease Administration Supervisor, the Lease Administration Auditor is responsible for conducting thorough audits for all Landlord expenses for over 500 retail locations, primarily focusing on Common Area Maintenance expenses to insure that Burlington has maximized savings while promoting positive Landlord / Tenant relationships.

Responsibilities:



1) Financial Compliance:

a) Analyze landlord reconciliations of operating expenses including CAM, Real Estate Taxes, Utilities and Insurance in a timely manner. Confirm billing is in accordance with lease terms and conduct a thorough desktop audit including verifying the pro-rata share, credit for monthly escrows, and evaluate for reasonableness with prior period reconciliations.

b) Prepare reconciliations for third party audit review as required and assist Supervisor with audit review findings.

c) Review and reconcile monthly statements from landlords. Research and resolve any discrepancies to reconcile the account. Prepare an escrow change form to adjust monthly payment amounts and process check requests as necessary.

d) Responsible to analyze and process the monthly rent roll when necessary including Additional Rent Payments by entering the data into the Lease Administration system. Ensure all processed invoices and new leases comply with company policies and Sarbanes Oxley requirements.

e) Responsible to enter, analyze and maintain the monthly accrual data.



2) Administration Compliance:

a) Negotiate desktop and field audit findings with Landlords through to resolution.

b) Respond to internal and external inquiries in a timely manner, maintaining professional and courteous relationship with coworkers and landlords.

c) Review and validate Estopple’s and SNDA’s along with assisting in the preparation of documents for legal review. Maintain correspondence with Burlington Landlord’s including all necessary follow up. d) Maintain paid files for all remittances, send Annual Sales Statements, scan and index all lease related documents in electronic file as necessary, assist with lease abstracts and special projects as needed.





Education:
  • Associates degree or equivalent work experience


Licenses/Certification/Registration:



Experience:
  • Minimum 5 years experience in Retail Lease Administration




Skills and Abilities:
  • Knowledge and understanding of the retail lease required
  • Ability to negotiate expense reductions favorable to Burlington
  • Understanding of Building/Facility Operations
  • Strong customer service Landlord/Tenant relation skills
  • Ability to work effectively with little or no supervision.
  • Ability to prioritize and multi task
  • Highly organized and skilled with time management.
  • High energy and professional attitude.
  • Integrity, passion and a positive work ethic.
  • Excellent written and oral communication skills
  • Good negotiation skills
  • Work closely with principals of Burlington and the Landlord offices
  • Proficient in Microsoft Office specifically Word and Excel.
  • Experience with Siterra preferred.
  • Experience with Oracle preferred.
  • Periodic/occasional travel may be required.
