POSITION SUMMARY:
The Non-Producing Branch Manager Administrative Assistant (NPBMAA) is responsible for providing overall administrative support for the Branch, including assisting the Branch Manager in connection with matters affecting the Branch facilities, Financial Advisors, and Support Staff. The NPBMAA also coordinates with the Complex Manager Assistant as needed to effectively and efficiently manage the administrative needs of the Complex.
DUTIES and RESPONSIBILITIES:
Maintain Branch Finance and Expense Management information, including Automated Flexible Grid (AFG), Business Development Allowance (BDA), and P&L
Coordinate the pre-hire due diligence process for Recruits
Implement the Onboarding and Orientation of Staff, Financial Advisors, and Recruits, including Sales Force website usage
Serve as the branch contact for Financial Advisor and Support Staff compensation arrangements and issues
Act as a resource and liaison for Branch Communications and Technology support
Provide administrative functionality for HR (CARCO/I-9 processing, New Hire and Termination paperwork, Workday, and Taleo)
Serve as the Building and Facilities Management point of contact and EMCOR liaison
Coordinate Staff and Financial Advisor Registration and Licensing
Assist in the administration of the Branch Business Continuity Plan (BCP)
Plan/Coordinate Branch and client events, seminars, meetings, etc.
Maintain Branch supplies, process invoices, and prepare T&E's utilizing the Concur, Ariba, and SMAART Web online systems
Perform administrative functions including, but not limited to, Branch Manager telephone coverage, business travel arrangements, file maintenance, Branch report preparation, and calendar maintenance Education and/or Experience
2 Years of related experience required
Series 7 preferred
College degree preferred
Knowledge/Skills
Highly effective time management and communication skills
Ability to prioritize multiple competing demands
Self-motivated and able to work with minimal direction
Extensive knowledge of branch procedures
Proficient in Microsoft Office applications (including Word, Excel and PowerPoint)
Excellent written and verbal communication skills
