New Jersey MENTOR is seeking an Administrative Assistant to provide administrative support to Operations and Human Resources. Specifically, the administrative support will handle departmental correspondence, file management, schedule meetings and interviews, as well as project based work.

Essential Job Functions:

  • Produces standard correspondence, memos and reports from drafts. Proofreads and edits material for appropriate grammar, spelling and formal.
  • Schedules meetings for operation leaders. Attends meetings to record meetings as required.
  • Assist in scheduling interviews, job fairs, and new hire orientation
  • Prepares and processes office administrative paperwork, such as employment requisitions, employee time sheets, expense vouchers, invoices, etc. Set's up and maintains confidential, sensitive files and record for multiple functions, ensuring efficient retrieval of information.
  • Reviews a processes non-routine paperwork associated with departmental functions, such as purchases requisitions, statistical activity/performance reports, work orders, etc.
  • Partner with Trainer and assist with specialized trainings.
  • Provide support to Human Resources including reference checks, pre-employment checks, file audits, file management, tracking of specialized trainings.
  • Assist with special projects. Gathers data and prepares a variety of documents and reports using established formats.
  • May assist in maintaining records in accordance with State, Federal and company regulations and policy as required.
  • Performs other related duties and activities as required.
Qualifications
  • High School Diploma. Bachelor’s Degree strongly preferred.
  • Two years’ experience in administrative support.
  • Proficient in Microsoft Word, Excel, and PowerPoint applications
  • Excellent organizational skills, ability to manage multiple projects and deadlines and attention to detail.
  • Strong verbal and communication skills
  • Initiative to work independently and multitask to support departmental priorities
  • Flexible and adaptable to shifting needs of the department
  • Must have the willingness to travel between Administrative offices in Somerset, NJ and Mt. Laurel NJ.
