Office Manager

LOCATION: Downtown Portland

SALARY: $55,000-$60,000

JOB DESCRIPTION: Great opportunity to join a long standing, locally owned real estate development company in Downtown Portland with paid parking! This is a Direct Hire position as an Office Manager supporting a busy office of 3 employees. Salary is $55,000-$60,000 with 100% paid medical, dental and vision benefits, 2 weeks paid vacation and more. Hours are Monday-Friday, 8:30am-5:00pm.
Our client is seeking an experienced Office Manager who is a heads-down, independent, diligent worker that is eager to learn the layers of their industry. Your role will be to manage the day to day activities of the office. This is a small office that is on the quiet side. Ideal candidates will have a background in real estate development, title/escrow or finance. They are willing to train on specific job functions, however, general knowledge of bookkeeping and QuickBooks is a MUST.

SPECIFIC DTUIES:
• Oversee all front desk operations including answering calls, greeting visitors, etc.
• Oversee and maintain all office systems including phones, computers, etc.
• Order office supplies
• Negotiate all insurance contracts, keeping insurance records current
• Analyze and recommend purchase or lease of office fixed assets
• Lead annual benefit review including negotiating best coverage
• Manage all document storage
• Lead lease and office activities including any remodel or moves
• Accounts payable including approving payable, check runs and producing cash reports
• Posting payable in QuickBooks
• Reconcile bank statements
• Maintain all constructions and financing book as well as vendor, tax and organizational files
• File all accounting reports including check/deposit slips and operating statements
• Manage monthly calendar of critical dates
• Assist President and VP in asset management, construction draw, lender and partner reporting
• Other special projects as needed
