Job Title: Receptionist
Department: Human Resources
Reports To: HR Manager 

Position Description 

The Receptionist / HR Assistant performs various tasks to support the Human Resource Department.  This position will also perform miscellaneous general administrative tasks as needed. 

Essential Duties and Responsibilities 

  • Ensures calls to the Support Center are routed to the proper person, greets visitors and issues name badges. 
  • Maintains the appearance of the lobby and the café, including the TV slide shows.
  • Maintains postage machine and mailroom organization.
  • Orders security swipe cards, contacts building management for maintenance issues.
  • Opens, sorts and distributes mail to the appropriate people.
  • Copies/ prints, and mails HR/Accounting special projects.
  • Displays a professional business attitude and appearance.
  • Proficient with time management skills. (ability to meet deadlines)
  • Processes/ files Personnel and Benefit material (Mandatory Health Orders, Handbook Acknowledgements, etc.)
  • Processes Tax/Legal documents for Accounting
  • Manages Calendar/Appointments/Meeting Rooms for SC
  • Stocks the kitchen, orders café food and beverage supplies
  • Stocks and orders office supplies 

Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required. 

  • Must exhibit good listening skills and display the ability to follow-up independently
  • Must be customer service oriented, in person as well as on the phone.
  • Must possess organizational skills
  • Possesses  the ability to prioritize multiple assignments amongst several individuals and tasks
  • Is able to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. 

Education and Experience 

  • Must have software skills with windows, Word and Excel
  • High School Diploma
  • Possesses excellent communication skills, verbal, written and phone
  • Prefer a Customer Service background
