We currently have an opening for an Administrative Assistant at our power plant in Saugus, Massachusetts.

I. Job Summary

Provides advanced clerical and administrative support to the Plant Manager or designated leader at the specific field location. Assists in coordinating all aspects of daily operations, including recording and reporting data. This senior level specialist is expected to perform at a higher level of responsibility and with minimal supervision. Duties and tasks are varied and may be somewhat complex. Resolves most questions and problems and refers only the most complex issues to higher levels.

II. Essential Duties and Responsibilities

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned.

Assists in troubleshooting and resolving safety, service, and operational issues.

Maintains and distributes department related information on a daily basis.

Completes and maintains a variety of reports as directed by the department manager.

Uses software tools to manage a variety of tasks, such as procurement, time and attendance, safety incidents, and contract labor.

Collects data for and is responsible for related reports for incentive pay programs.

Supports payroll process, including verifying, reconciling and running reports and other tasks as assigned.

Assists in the implementation of operational projects as needed.

Communicates with internal and external customers regarding various issues and questions as directed by plant management. This includes being the first point of contact at the location in some situations, and answering phones if necessary.

Communicates with employees about scheduling and work assignments as directed by plant management.

Facilitates accounts payable processes including verifying labor invoices, matching invoices to POs, following through on requests and obtaining necessary approvals.

Assists in the hiring process, schedules physical exams and maintains hiring records.

Coordinates drug tests as directed under the policy for random and suspicious drug testing programs; responsible for arranging on and off-site testing.

Assists with physical counting during inventory cycles.

Facilitates Record Retention as necessary an according to policy

IV. Qualifications

The requirements listed below are representative of the qualifications necessary to perform the job.

Education and Experience

Education: High school diploma or G.E.D (accredited).

Experience: Three (3) years of relevant work experience in an administrative support or business support role.

Certificates, Licenses, Registrations or Other Requirements

Licenses as required by Local, State, Federal, Environmental and/or Health/Safety Regulatory agencies

Other Knowledge, Skills or Abilities Required

Proficient in use of a computer and Microsoft Office software;

Ability to multi-task and self start

Very organized with attention to detail and highly disciplined; and

Uses interpersonal skills to more effectively interact with a diverse group of internal and external customers.
