The Medical Operations Supervisor is responsible for overseeing the applicant and return donor reception and registration processes. Supervises the reception and medical staff. Assists management with daily operations of center to include development of reception and medical staff, assessment and improvement of processes, troubleshooting issues and managing donor flow.

Main Responsibilities and Accountabilities:

In compliance with Standard Operating Procedures (SOPs), supervises daily activities of the reception, medical, and customer service operations. Provides personnel clear and consistent instructions and directions, conducting meetings as necessary, and clearly communicating performance expectations. May be required to perform tasks in work areas. Advises management of employee relation issues or escalated donor issues.

In conjunction with other management and supervisory staff, facilitates movement of donors throughout the center minimizing donor wait time and processing.

Supervises the activities in the reception and medical work areas to ensure supplies and materials are properly handled. Repairs or replaces equipment in a timely manner. Updates equipment status and documentation on a regular basis.

Ensures the reception and medical, work areas are staffed with adequate number of personnel to provide sufficient support based upon center size, structure and donor flow. Creates schedules for direct reports per company procedures. Monitors time card procedures, attendance and overtime usage.

Conducts investigations, participates in root cause analysis, and develops recommendations for process improvement.

Participates with management in conducting performance appraisals and providing performance feedback. With management review and direction, documents verbal and written coaching level corrective actions, as needed. Responsible for ensuring that all reception and medical staff are trained and competently performing their duties as assigned.

Participates, as appropriate, with management in the recruitment and selection of center operation staff. Coordinates the plans and/or delivers the training for the medical and reception staff.

Follows all federal, state, and local regulatory and company policies and procedures. Ensures staff adheres to and promotes compliance to company policies and procedures.

Acts as liaison for Center Medical Director and Divisional Medical Director. Coordinates activities of the Center Medical Director.

Participates in selected Center Leadership meetings and makes presentations related to pertinent medical topics to staff as required. Conducts and documents monthly medical meetings, as appropriate.

Ensures the accurate recording of donor data in the electronic donor information management system as outlined in the SOPs.

Provides medical oversight and guidance to center specialty and employee Hep B programs. Understands policies and procedures associated with hyperimmune programs at the center, as applicable.

Maintains clean efficient work environment, and ensures sufficient operating supplies and availability of forms, as needed. Complies with all Health Safety and Environmental (HSE) and Occupational Safety and Health Administration (OSHA) policies and procedures. Conducts routine audits of internal procedures and documentation, as necessary. Promotes safety in all actions.

Maintains confidentiality of all personnel, donor and center information. Performs other related center duties, as assigned.

Qualifications and Experience Requirements:

Graduation from a paramedic, nursing, physician assistant, chiropractic, naturopathic training program, and medical school or Graduation from a foreign allopathic or osteopathic medical school and only if also currently licensed as a physician or certified as an emergency medical technician in the state.

Current certification as a company Medical Staff Associate or equivalent combination of education and experience in a regulated environment. Minimum 1 year previous supervisory or group leader experience preferably in a regulated health care or manufacturing environment or equivalent combination of education and experience.

Proven ability to communicate effectively through verbal, written and demonstration instructions and procedures ensuring clarity and understanding. Must demonstrate customer service skills and the ability to work effectively with the public.

Make customers and their needs a primary focus of action. Develops and sustains productive relationships.

Must be successfully trained in all areas of the Center within six to twelve (6 to 12) months of placement into this position. Must be proficient in Microsoft Office products, and able to perform basic math calculations.

Other Specialized Knowledge:

Maintain company technical Medical Staff Associate and training certification.

1. Maintain current state professional licensure or certification, as paramedic, LPN/LVN, RN, PA, DC, ND, MD or DO. Foreign medical graduates may be accepted with current state certification as an emergency medical technician.

2. Must have current certification in basic provider cardiopulmonary resuscitation (CPR).

3. Must be proficient at record keeping and have legible handwriting.

4. Must show proficiency in English.
