About this job

Reponsibilities:
Manage new hire on boarding process which include:

sending out new hire packets

produce weekly new hire report

collect new hire paperwork during orientation

prepare and order orientation material and breakfast

partner with Payroll to ensure that the new hire's paperwork is processed in a timely manner

create and file new hire personnel files

Other Administrative HR Duties:
Administrator for the applicant tracking system (ICIMS). Point of contact for day to day administrative functions, which includes but not limited to reports and updates that are needed.

Seek approval of all invoices, process them through Oracle, and assist with budget tracking.

Book group travel for recruiters and individual travel arrangement for out of town candidates.

Manage the vendor contract process. Liaison between the Corporate Legal Division and the vendors.

Answer the HR external phone hotline and handle accordingly.

Maintain compliance on all record retention schedules.

Order premium items and materials for the department, maintain supply cabinet, and manage supply orders.

Distribute mail to the team, and mail packages as necessary.

Book meetings and set up conference rooms when needed.

Assist the team with the Summer Insights Program coordination which include:

event planning and managing logistics

place catering orders

maintain internship calendar

Participate in university and diversity career fairs, including ordering of materials for the fairs, arranging payment, and helping to coordinate logistics.

Post jobs on internet job posting sites such as LinkedIn.

Assist on ad hoc projects on as needed basis.

Maintain and update personnel files and documents as needed.

Act as a backup administrator on the temporary workforce system (Fieldglass)
