POSITION SUMMARY

The Depression Center seeks a motivated and experienced administrative career professional to provide confidential and highly responsible administrative support, under supervision of the Associate Director of Administration, to the Executive Director of the Depression Center and a faculty Associate Director of the Depression Center Leadership Team. The Center is a growing enterprise and the characteristic duties and responsibilities may evolve over time to match changing needs and priorities. The successful candidate will be able to oversee multiple tasks, respond to many requests, and adapt in a fast-changing and high-pressure work environment.

Responsibilities* Provide advanced, diversified, and confidential secretarial and administrative support to the Executive Director, and a faculty Associate Director of the Depression Center Leadership Team. Serve as a liaison between the Director's office and both internal and external constituents; these often are national and global. Maintain Director's calendar and exercise discretion and judgment as to priorities; schedule complex and routine meetings; prepare agendas, take minutes, and draft minutes for review in advance of meetings. Organize and prepare background materials for meetings and send to meeting participants in advance, as appropriate. Draft and type emails, letters, memos, faxes, proposals, reports and other documents as required. Professional writing skills that reflect on the Center are a key component. Screen, prioritize and/or respond to phone calls, mail, and emails and handle independently, as appropriate. Assist in arranging schedules and draft itineraries for visitors. Receive, greet, and appropriately respond to all scheduled and unscheduled visitors. Maintain journals and outside organizational memberships. Prepare, and/or help the Executive Director and a faculty Associate Director of the Depression Center Leadership Team prepare, organize and maintain PowerPoint presentations and brief speeches about the Depression Center. Manage the daily functions of the administrative office and special projects designated by the Director or the Associate Director of Administration. Oversee/organize special events and assist with annual conferences sponsored by the Depression Center. Make travel arrangements, promptly prepare and submit travel expenses, and work with Departmental financial staff to monitor and adapt as policies change

Required Qualifications* Associate's Degree or equivalent is required; additional educational experiences or degrees (e.g. Bachelor's or Master's) are desired. Excellent organizational, communications and interpersonal skills; time management skills; attention to detail; ability to work independently, as part of a team, and as administrative leader of a team, representing the Executive Director; Experienced in process management Willing to continually update knowledge base and technical skills; ability to meet deadlines and work under pressure Sophisticated writing and grammatical skills; ability to promptly prepare professional correspondence at the request of the Executive Director; ability to monitor own and Director's daily e-mails and prioritize those that need prompt attention, prepare recommended actions or e-mail drafts for review and action by the Executive Director Skilled in Word, Excel, PowerPoint, Endnote; experience with database software such as Excel is highly desired Skilled in use of Social Media communications (Facebook, Twitter, others) is desired Knowledge of University policies and procedures, including Mpathways Financial Systems; understanding and preferable experience of working with high-level University and preferably Health System administrators Five years of progressively responsible administrative work Flexibility in working schedule to respond to occasional unexpected demands
