JOB DESCRIPTION

This is a Career Service position providing administrative support for the Facilities Management (FM) sub-section and FWRI internal and external customers. The successful candidate will process administrative paperwork, assist in maintaining files and with records retention, assist in the use of the electronic Net Facilities Service Request program. They will enter and proof data, review all incoming documents and distribute to appropriate staff and make recommendations for required actions. They will be expected to independently make decisions for routine and emergency problems relating to the facility and coordinate appropriate staff to assist with the situation and follow up with a report of the required course of action, as necessary. Responsiblilities include assigning access/id cards and parking tags to FWRI employees and access cards to vendors; maintaining the FWRI telephone list and posting it on the portal site. They will assist with maintaining the FM portal site (web based). Successful candidate will also participate in, assist with preparation for and the strike of the yearly public outreach event, School Daze and Marine Quest.

MINIMUM QUALIFICATIONS

A high school diploma or its equivalent and 5 years of clerical or administrative experience, one of which must be administrative. College education may substitute, on a year-for-year basis, for the required experience.

Preferred Experience

Applicants with a working knowledge and understanding of data base functionality in software such MS Access, Net Facilities, SalesForce or Maximo, etc., are encouraged to apply and may be given preference. Applicants having experience on the administrative side of facilities management may also be given preference.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

Knowledge of: administrative, general office and budgeting principles, procedures and practices and customer service principles. Demonstrated ability to: collect, evaluate and analyze data relating to administrative functions; use with competency a personal computer and email, word processing and spreadsheet software, learn new software programs; accurately enter and proof data, understand and apply applicable rules, regulations policies and procedures; plan, organize, prioritize and coordinate work assignments; communicate effectively both verbally and in writing; prepare reports; maintain a valid driver's license and establish and maintain effective working relationshipsengendering a team environment; and provide professional, pleasant customer service.
