The essential function of the position within the organization is to provide broad administrative, organizational and clerical support. The position is responsible for administrative and clerical tasks of responsibility. The position works under general supervision independently developing work methods and sequences.* Position provides administrative support to the General Services Unit of the Office of the State Courts Administrator. The unit administers the procurement functions for the judicial branch, as well as records management, safety, risk management and emergency preparedness. This position provides broad support to the Chief of General Services, as well as staff within the unit. The incumbent must possess a high degree of professionalism and will be required to exercise independent judgment in managing and coordinating a wide range of assignments and projects. This position requires a high degree of confidentiality, problem solving, and adherence to timeframes. Examples of work performed include:

Maintains unit's and Chief's calendars, coordinates meetings and appointments;

Coordinates office services, such as records management, purchasing, budget administration, contract management, and legislative bill tracking;

Analyzes operating practices and procedures to create new or to revise existing methods;

Develop and maintain computerized tracking and reporting mechanisms and databases;

Identifies and compiles action items and tasks of the unit and assists the Chief in coordinating and monitoring assignments;

Reviews and recommends edits for unit websites, ensuring content and intent are consistent across sites, position may edit websites as well;

Approves purchasing card transactions, reviews documentation for accuracy, and follows procedures for authorizing payment;

Prepares invoices and contract summary forms to pay contractors;

Education and Training Guidelines: Additional relevant experience may substitute for the recommended educational level on a year-for-year basis and additional relevant education may substitute for the recommended experience on a year-for-year basis.

Bachelors' degree and One year of experience in business administration, office skills or a related field.

Impact of Decisions Makes decisions with minor impact - affects only those in immediate work area and may affect those in other work units.

Equipment Usage Handles machines, tools, equipment, or work aids involving some latitude for judgment regarding attainment of standard or in selecting appropriate items, such as computers, peripherals, or software programs such as word processing or spreadsheets.

Special Comments:

Position requires at least intermediate skill level in Microsoft Outlook, Word, PowerPoint and Excel. Proficiency using Adobe Acrobat Pro and Dreamweaver preferred. Applicants being considered for interview must successfully complete a skill assessment.

Position serves as back-up processor of mail and supplies for the organization; may occasionally lift up to 50 pounds (case of paper); use mail processing equipment and deliver mail to units and between buildings.

Position monitors several cost centers. Experience monitoring expenditures and tracking multiple budgets strongly preferred.
