POSITION DESCRIPTION:

Provide direct administrative support to the team. This position requires a high performing individual that thrives on problem solving and meeting challenges in a high-volume, fast-paced environment. Daily activities include ongoing interaction with senior-level leaders and all levels of employees, as well as with customers, vendors, visitors and candidates.

POSITION RESPONSIBILITIES:

  • Coordinates and maintains calendar, including travel arrangements, large group meetings and logistics
  • Reads, responds to and forwards emails or other correspondence, as requested to ensure all projects and requests for action are acted upon in a timely manner.
  • Schedules meetings, coordinates functional activities and reserves conference rooms & hotels accommodations
  • Work closely with managers to assist with various events and meetings
  • Handles details of a highly confidential and critical nature; screens and directs phone calls and email
  • Prepares presentation materials for senior-level meetings; develops and generates presentations, correspondence, reports and forms
  • Works on projects and issues of a diverse scope requiring analytical skills and the ability to manage multiple priorities such as Organizational Planning, Performance Management and annual budget planning.
  • Maintains, tracks, and provides reports relating to department budget and expenses.
  • Researches, reconciles and resolves issues relating to expense reports, purchase orders, contracts and invoices in a timely manner
  • Provides administrative-related support, such as (but not limited to) internet/intranet research, file set up/maintenance, ordering supplies and equipment, photocopying, mail distribution and/or other related tasks, as assigned
  • Collects and prepares information for use in discussions/meetings of senior level and executive staff
  • Coordinates and/or works on special projects, as assigned
  • Gains familiarity with projects and activities of the R&D organization in order to answer questions and refer requests to appropriate staff
  • Assists with program/time tracking and reporting and compiling data
  • Requires in-depth knowledge of company & department operations, policies and procedures
  • Manage the execution of contracts as required for outsourcing engagements
  • Manage facilities needs and requests
  • Manage training records for department
