Our corporate Financial Services client in Boston, MA is seeking a sharp Administrative Assistant

Job Details:

  • Maintain calendars for multiple executives in Outlook
  • Manage schedules between team members and clients
  • Schedule meetings, prepare conference rooms, set up catering
  • Coordinate travel arrangements (flight, hotel, car rentals, etc.)
  • Access complex internal database to update employee and client information
  • Manage multiple filing systems (electronic/hard-copy)
  • Create tables and track data in Microsoft Excel
  • Prepare presentations in PowerPoint
  • Draft correspondence via email and Microsoft Word
  • Answer main phone, route calls, act as gatekeeper
  • Perform Internet and web-based research for projects
  • Operate office equipment, including set-up, troubleshooting, training incoming staff, and maintenance
  • Provide any other duties as assigned

Qualifications:

  • HS Degree or above required
  • 2+ years of professional office experience supporting a team, division, department, etc.
  • Excellent written/verbal communication skills
  • Proficient within MS Office using Word, Outlook, Excel, and PowerPoint
  • Must exhibit strong professionalism to comfortably interact with all staff levels and clients
  • Prior administrative experience in a corporate, financial services, or similar professional industry is highly preferred
