1. Job Summary

The Associate Manager is charged with the responsibility of operating the assigned store according to company policies and guidelines, to maximize both sales and profits in the absence of designated store manager. The Associate Manager may be directed by Supervisor to recruit, select, direct and develop store employees so that all company goals and standards are met. The Associate Manager will be flexible in traveling to locations as directed by Supervisor. Location of daily worksite will be directed by company need.

The Associate Manager is responsible for ensuring excellent customer service and promoting the “Easy to Do Business With” philosophy of Handy Mart and to ensure that each location visited operates under same philosophy.

3. Duties and Responsibilities - General Duties

Manager off Duty Responsibilities(Store is without a manager)
1. Recruits, screens, interviews and recommends or does the hiring of store employees to meet the needs of the store.
2. Supervises store employees.
3. Provides training and development of all store employees.
4. Continually evaluates store employees and assists them in ways to improve their performance.
5. Enforces all company policies and procedures. Monitors compliance.
6. Disciplines employees as needed. Issues verbal and written warnings as appropriate ensuring progressive disciplinary procedures when warranted.
7. Investigates and resolves employee complaints and grievances. Reports appropriate matters to Store Supervisor.
8. Continually strives to maintain a constant work force through continued efforts of reducing turnover.
9. Explains and implements all new programs and instructions to all store employees.
10. Ensures that all employees properly record all hours worked accurately and timely on time sheets.
11. Ensures that no blank time sheets are turned into the payroll department. Ensures compliance with all local, state, and federal laws. (Re: Wage and Hour, ABC, EPA, etc.)
12. Monitors employee performance. Implement strategies to enhance customer service and loyalty.
13. Recommend employees for wage increases on a timely basis. Conducts performance reviews on employees on a timely basis.
14. Recommends or does employee termination and prepares required documentation.
15. Develops the Assistant Manager to be capable of operating the store just as the Manager.
16. Prepares employee work schedule in advance. Standard time frame should be two weeks in advance.
17. Ensures all shifts are covered even in cases of emergencies.
18. Assures all housekeeping needs are attended to on an ongoing basis.
19. Recognizes maintenance needs and reports them to the supervisor.
20. Assures all employees are familiar with Gasoline Spill checklist and can act responsibly in case of such an emergency.
21. Assumes the responsibility for logging and substantiating all long distance calls made from the store. Understands that all undocumented phone charges will be a payroll deduction. Ensures that no collect calls are made to the store and accepted by any employee.
22. Supports the “Easy To Do Business With” philosophy and ensures the success of the program by implementing training to all employees and ensuring that each and every employee performs to the standard set by the company under the program.
23. Exhibits understanding and compassion to the personal needs and welfare of all employees.
24. Reports all work related employee injuries, customer injuries, spills and other incidents to District Supervisor and / or Store Manager.
Manager On Duty
1. Must work on regular shift as scheduled by the Supervisor
2. Must aid and support Manager with all store responsibilities on a consistent basis.

4. Other Job Functions

a. Merchandising and Inventory Management

1. Maintains an adequate inventory at all times without creating an excessive inventory.
2. Displays merchandise effectively for maximum sales.
3. Ensures all merchandise codes are correct.
4. Ensures correct retail prices on merchandise.
5. Monitors and ensures that the cooler and fast food areas are adequately stocked at all times.
6. Accurately performs mark-ups and markdowns on merchandise when applicable.
7. Maintains build-up sheets for all required items.
8. Monitors vendor activity to assure correctness of charges and credits. Reports discrepancies to supervisor.
9. Ensures excellent customer relations are maintained through proper training of employees.
10. Ensures that merchandise orders complies with customer preference and with product movement.
11. Maintains cigarette logs as required.

b. Paperwork

1. Preparation and review of all required store accounting paperwork information.
2. Preparation of bank deposit and assuring the deposit is properly made at the bank.
3. Assures the accuracy of employee time by careful evaluation and review.
4. Instruct employees in the use of the Shift Report. Verifies accuracy daily.
5. Instruct employees in the proper sale of money orders/lottery/phone cards.
6. Completes and analyzes trend sheets daily.
7. Checks or ensures that gasoline competitor prices are checked on a daily basis.
8. Reports changes in competitor gas prices to the home office immediately.

c. General Store Operations

1. Assures proper allocations of store hours to meet labor budgeted hours without excessive overtime.
2. Assumes the responsibility for controlling and minimizing store expenses.
3. Recommends ways to increase sales, profits, and all store operating efficiencies.
4. Reports repairs or maintenance needs of store equipment using VPN.
5. Assures the over-all housekeeping of both inside and outside of the store is completed on a regular basis.
6. Assumes an awareness of local community activities and makes recommendations for participation in appropriate activities.
7. Assures a safe working environment by reporting all safety hazards/incidents to Store Supervisor.
8. Assures that all employees are achieving excellent customer service levels and that each employee understands that excellent customer service is the basis for our success.
9. Assures that all employees greet customers upon entry and exit of the store. Ensures that we follow company handbook guidelines on customer service by asking the customer to return to our store. Promote positive attitude and exhibit such to customers. Positive attitude can be demonstrated through actions of employees. Smiling and greeting each customer as they enter the store are examples. Promptly handling any customer orders, complaints or issues. Thanking the customer when sale is completed and asking the customer to come back. Always remembering to smile and make eye contact with each and EVERY customer.

d. Store Security and Controls

1. Establishes and monitors cash handling and control procedures consistent with company policy.
2. Makes timely bank deposits either personally or by another authorized employee that has been approved by the office through a MVR.
3. Assures that cash in the register is maintained at the amount designated in company policy.
4. Immediately reports ALL shortages of more than $20.00 to Supervisor and Director of Operations by an email. Action that was taken must also be reported. Investigates and takes appropriate action on cash and inventory shortages. Educates all store employees on the causes of each.
5. Assures that all store employees are knowledgeable of security policies and procedures and trained in each.
6. Assures store employees are trained in the cause, prevention and response to robbery.
7. Assures the maintenance of a good working relationship with local law enforcement.
8. Secure all storage room doors during each shift.
