Administrative Assistant: Investor Relations Group
Responsibilities include:
Providing administrative support for multiple professionals in the Investor Relations Group including:• Heavy phone coverage - answer, screen and handle calls as appropriate• Input data into contact management system• Prepare/coordinate materials for meetings, calls, follow ups• Schedule and coordinate meetings, including organizing group meetings, setting up conference rooms, ordering food and beverages as appropriate and cleaning up conference room after meetings• Coordination around client meeting prep, including communicating presentation needs to graphics department and checking books prior to meeting• Fund raising activities, including sending out legal documents• Manage conference schedules• Coordinate travel arrangements and itineraries• Prepare and reconcile expense reports• Organize small events i.e., prospect dinners• Organize in-house conferences held in the New York office including invitations, room reservations, facilities coordination, development of material and handouts and scheduling of all necessary AG resources• Organize client conference calls/webcasts and communicate them internally to all affected parties• Special projects as needed

Requirements

• Minimum 7+ years administrative assistant experience, preferably with experience working in a team which supports several senior professionals • General understanding of the finance industry preferred • Excellent computer skills required; MS Office: Word, Excel, PowerPoint, Outlook • Database management experience • Excellent organizational skills and strong attention to detail. Candidate should be described as highly efficient • Strong ability to anticipate and plan ahead – use future meetings and conferences to suggest more productive travel schedules, use calendar as a planning vehicle for coordinating travel for investor relations team and in communication with portfolio managers • Must be self-motivated and proactive • Strong follow-up skills. Continually ensure that meeting planning and any related changes are communicated to all affected parties. Develop a positive working relationships with admins who support portfolio teams • Ability to multi-task • Strong sense of professionalism and strong work ethic • Excellent communication skills, both verbal and written, including ability to communicate effectively and professionally with clients • Discretion and ability to handle confidential, sensitive information • College degree or equivalent experience
