Home Instead Senior Care® Service Coordinator Job Description Seeking Independence, Inc. d/b/a Home Instead Senior Care
 
Objective:
The Service Coordinator is expected to perform a variety of duties in the coordination of scheduling service for clients.  The Service Coordinator is responsible for scheduling clients and CAREGiversSM in order to provide the highest quality service to clients with emphasis on creating extraordinary relationships.  This position works a rotating schedule of 4 days on, 4 days off.  The position will be “on call” after hours on the days worked.
 
Primary Responsibilities:                                                                             
  • Reflect the values of Seeking Independence, Inc., (d.b.a. an independently owned and operated Home Instead Senior Care franchise).
  • Answer incoming calls in a friendly, professional and knowledgeable manner.
  • Create and maintain client and CAREGiver schedules with an emphasis on creating high quality matches and the development of extraordinary relationships.
  • Monitor, mediate, and log all client and CAREGiver activity utilizing the software system.
  • Document and communicate all client and CAREGiver issues to ensure their problems are resolved.
  • Follow up with all client and CAREGiver issues to ensure their problems are resolved.
  • Enter and maintain accurate client and CAREGiver records in the software system.
  • Bill & Finalize Care Logs on a daily basis.
  • Generate Invoices and Payroll per schedule.
  • Increase client loyalty to Home Instead Senior Care by utilizing the consultative sales process to better meet our current client needs.
  • Follow up and communicate CAREGiver and client issues to ensure problems are resolved. 
  • Design, test and implement a responsive contingency plan that ensures 100% maintenance of Service Hours.
  • Recognize and capture opportunities to increase service hours in scenarios to enhance and/or increase quality care.
  • Field new client inquiries over the phone in a knowledgeable manner, enter the information into the software system and work with team to communicate and prepare for the Care Consultation.
  • Maintain regular attendance at the office to execute job responsibilities
  • Demonstrate open and effective communication with the franchise owner/general manager, colleagues, CAREGivers, clients and family members.
  • Adhere to all company policies, procedures and business ethics codes and ensures that they are communicated and implemented within the team. 
Secondary Responsibilities
  • Participate as needed in all CAREGiver meetings
  • Provide temporary CAREGiver coverage during extreme scheduling emergencies
  • Perform any and all other functions and responsibilities deemed necessary 
Critical Numbers:
  • Maintain client schedule 1 Month in advance for 10% of our clients.
  • Maintain client schedule 2 Weeks in advance for 40% of our clients.
  • Maintain client schedule 1 Week in advance for 30% of our clients.
  • Maintain updated and accurate CAREGiver availability and personnel information.
  • Manage CAREGiver overtime to no more than 1% total hours per week/month.
Education/Experience Requirements:
  • High school graduation or the equivalent
  • Three years of related business experience or an equivalent combination of education and work experience may be considered
  • Must possess a valid driver’s license
Essential Job Requirements:
  • Must be 21 years of age or older
  • Must be able to clear a background check.
  • Must be bondable.
  • DMV record must show you are a safe, responsible and courteous driver.
  • Clear drug screen.
  • Able to provide 3 professional and 3 personal reference checks
  • Background must meet Ohio Administrative Code standards for working with elderly
  • Have and maintain reliable transportation suitable to transport clients
  • Possess and maintain a valid driver’s license
  • Possess and maintain valid auto insurance
  • Ability to withstand exposure to dust, mold, mildew and cleaning solutions
  • Ability to treat and care for clients and their property with dignity and respect
  • Ability to adapt to various living environments and locations
  • Ability to communicate with clients in a friendly and congenial manner
  • Heart rate cannot exceed 85% age adjusted rate
  • Must have standing balance
  • Ability to lift 12 inches to waist a minimum 50 pounds

  Knowledge, Skills and Abilities:
  • Must have an understanding of and uphold the policies and procedures established by Seeking Independence, Inc., (d.b.a. an independently owned and operated Home Instead Senior Care franchise)
  • Must demonstrate excellent oral and written communication skills and the ability to listen effectively
  • Must have the ability to work independently, maintain confidentiality of information and meet deadlines
  • Must demonstrate effective interpersonal skills as well as sound judgment and good decision-making skills
  • Must demonstrate discretion, integrity and fair-mindedness consistent with company standards, practices, policies and procedures
  • Must have the ability to organize and prioritize daily, quarterly, monthly and yearly work
  • Must have the ability to establish good working relationships with the franchise owner, office colleagues, clients and CAREGivers
Compensation:
  • $15.00 per Hour
  • Double time on defined holidays
  • Performance Bonuses
