DESCRIPTION:

The Senior Clerk is a primarily clerical position and serves as the Environmental Health (EH) administrative support for the Florida Department of Health in Hendry and Glades Counties (DOH-Hendry). This position provides exemplary customer service by phone and in person. The incumbent treats customers, the public and staff with courtesy, respect and dignity, presents a positive public image; works independently; receives telephone calls and walk in customers; organizes and maintains files in accordance with official retention schedule; enters new accounts, inspection results and fee receipts into the Environmental Health Database (EHD) to account for services; and reconciles and submits receipts to the fiscal department daily. This position is based in Labelle at 1140 Pratt Boulevard and reports to the Environmental Health Manager. Certain immunizations such as an annual influenza vaccine and a TB assessment are required.

REQUIREMENTS:

A High School diploma or an equivalent GED is required. A minimum of one (1) year of recent clerical or secretarial experience is required. A valid Florida driver's license and reliable transportation are required. Bilingual in English/Spanish valuable. Incumbent may be required to work before, during and/or beyond normal work hours in the event of a disaster or as needed. EMERGENCY DUTY: Emergency duty required of the incumbent includes working in special needs or Red Cross shelters, or perform other emergency duties including, but not limited to responses to or threats involving any disaster or threat thereof, man-made or natural.

MAJOR DUTIES AND RESPONSIBILITIES:

Works independently and performs effectively utilizing software and databases necessary to perform duties such as but not limited to: Crystal Reports, Word, Excel, Access, EHD, EBridge, Everbridge, HMS, and internet processes

Ensures that all data is retrieved accurately and timely

Prioritizes work assignments to meet the required deadlines

Organizes files and maintains environmental records including reports, permits, licenses and correspondence

Receives environmental calls and clients pertaining to, but not limited to, animal bites, food services facilities, group care facilities, limited use public water systems, mobile home and recreational vehicle parks, migrant facilities, private wells, public swimming pools, public and private schools, sanitary nuisance complaints and septic tank application and permits

Schedules appointments for environmental staff

Logs all environmental program activities and outcomes daily and enters new accounts, inspection results and fee receipts into the EHD

Performs billing and collection duties for fees of various permits, licenses and laboratory water samples

Handles animal bite reports and ensures all correct information is obtained at the time of report; reports information to appropriate person and/or agency and conducts follow-up calls to animal control and patient

Types all correspondence for environmental staff including legal documents and reports; prepares inter-office incoming and outgoing mail

Provides assistance in non-technical matters and/or directs customers to appropriate staff

Receives payment for services, enters payment into EHD. Reconciles cash drawer and submits payments to fiscal daily

Provides assistance to Environmental Health staff in managing computer database systems and physical files. Researches, updates, files, e-mails, faxes and performs data entry

Participates in quality assurance and quality improvement initiatives

Backup to other clerical positions

Completes all mandatory trainings

Contacts supply vendors for detailed information on item(s) needed and ordering requirements

Compares prices and information and makes recommendations to the Environmental Health Manager

Composes and types purchase orders for the Environmental Health section of the Florida Department of Health -- Hendry County

Keeps detailed records of special order items for each program

All other duties as directed by the Supervisor
