Roles & Responsibilities

- CATERING
o Team must provide date, time, # attending, location, purpose or occasion, if microphones are required, and if HCPs are attending

- TRAVEL
o International & Multi Segment
o Ground transportation
o Visa/Destination applications, requirements & restrictions
o Gilead approved hotels
o Expense Reports

- HOSTING EXTERNAL VISITORS
o Providing visitors with check-in information via email
o Assisting with accompanying visitor upon arrival to conference room

- CONFERENCE ROOMS
o We have calendar access that allows us to work to adjust and move meeting resources to accommodate your event with reasonable notice
o Work orders for conference seating set up
o Audio/Video and Telecon/Videocon support

- MEETING SCHEDULING
o Large meetings across multiple organizations
o Internal group meetings
o Setting up Web-Ex

- IT: HARDWARE & SOFTWARE
o Includes networked hardware
o Includes new or replacement equipment/software license requests
o New GFax requests
o Team members may always request support from IT directly for issues pertaining to their existing equipment

- PURCHASING SYSTEMS
o Office Supply requests
o Ergo Items recommended at your evaluation
o POs/Payments for services such as group trainings, seminars or other activities

- SHIPPING & RECEIVING
o FedEx Shipments
o Incoming/outgoing mail questions

- NEW HIRE SET UP (ONBOARDING)
o Hiring manager must FWD the Enterprise Service Desk incident emails
o Setting welcome meetings for new hires

- EMPLOYEE OFF-BOARDING
o Ensuring all Gilead equipment (e.g., laptops) are returned on final work day

- INTERVIEW SCHEDULING
o Admin will prepare travel and internal planning once your HR or Aerotek representative has confirmed an on-site interview
o Arranging interview schedule and calendaring on interviewers' calendars

- SPACE PLANNING, SITE SERVICES & FACILITIES
o Anything involving physical office space, moves, furniture or other items, and site services requests

- POWERPOINT PRESENTATIONS
o Assist will creating Powerpoint presentations
