The Senior Administrative Assistant will support the Senior VP of Operations with various administrative tasks in the Allentown, PA office.  This position will regularly interact with senior executive leaders and their staff from around United Health Group and duties will include more traditional administrative/clerical support roles including: answering the telephone, typing/word processing of documents, maintaining calendars and setting up meetings, making travel arrangements, copying, faxing, greeting visitors, setting up files, tracking expenses, and coordinating building and equipment maintenance. This position supports executives at the Senior Leadership Team (SLT) level and below.
 
This is a fast paced working environment that requires the ability to multitask with attention to detail and excellent organizational skills.          
 
Primary Responsibilities:          

Create / maintain calendars and coordinate meetings avoiding scheduling conflicts     

Will assist the Senior VP in email management (closely monitoring and taking care of more tactical items)

Create / prepare meeting materials (e.g., PowerPoint deck; agendas) and ensure distribution to appropriate individuals in a timely manner        

Schedule, coordinate, and/or set up resources and technology needed for meetings / events    

Responsible for communication across employee group and clients (written and occasionally oral)

Assisting with the development and completion of documentation (operating planning docs, etc.)

Project Management skills, complex assignments, tracking projects and assignments

Make travel arrangements for meeting attendees and host, coordinate, and/or facilitate meetings / external events as needed      

Sorting letters and checking for errors; batching for mailing as a team resource for distributing hard copies as needed; monitors printers    

Maintain compliance with turnaround times based on the member's product, the type of request and the specific regulatory agency     

Complete and correctly submit required Service Requests to support department needs     

Track requests for on-time completion     

Take proactive measures to prevent missed deadlines   

Juggle diverse responsibilities and help Senior VP with tactical items

Support Senior team members in preparing presentations and other duties as assigned   

Requirements

Required Qualifications:                


 High School Diploma or equivalent

5+ years of administrative support to senior leadership in a corporate setting

Intermediate level or greater proficiency in MS office, especially Word, Outlook, Excel and PowerPoint

Demonstrated experience managing highly complex scheduling and coordination

Works well with limited direction; is able to independently interpret assignments

Demonstrated ability to work and solve problems independently

Demonstrates excellent communication and collaboration skills

Excellent writing skills; will manage communications on behalf of SVP

Must have a polished demeanor and be comfortable working with people at all levels

Experience working in a fast - paced, matrix organization
Preferred Qualifications:                



Bachelor’s or Associates’ degree     

10+ years of administrative experience supporting senior/ executive leaders

Project management / coordination experience  

Intermediate or greater proficiency with OneNote
