The Senior Administrative Assistant will provide administrative support to five (5) attorneys and Director level team members in a manner consistent with the highest levels of performance and professionalism within the Legal, Compliance & Regulatory Affairs (LCRA) Department as part of the Administrative Legal Core Services Team of UnitedHealthcare.
 
This is a fast paced working environment that requires the ability to multitask with attention to detail and excellent organizational skills.
 
This position will also have BSL (Business Segment Liaison) responsibilities including: New hire onboarding / offboarding, equipment ordering and set-up, software purchases and office supply ordering. Senior Administrative work will involve direct client interaction. 
 
Primary Responsibilities:


Handle highly confidential information with complete discretion
Interact with individuals at all levels of the organization
Manage calendars, coordinate travel, prepare expense reports
Make meeting arrangements and coordinate changes in meeting schedules
Work effectively as an integral member of a team
Create / prepare meeting materials, i.e., PowerPoint presentations, spreadsheets and meeting agendas, and ensure distribution to appropriate individuals in a timely manner
Schedule and set - up resources and technology needed for meetings and events, i.e., conference rooms, catering, WebEx, and Telepresence
Compile and / or integrate information needed to complete reports and documents
Review documents to ensure accuracy and quality, and revise as needed
Answer incoming calls and facilitate handling of requests for information
Evaluate calls in terms of importance and use independent judgment to take action such as interrupting work directors or notifying others
Independently perform varied administrative duties related to functional areas
Greet visiting clients, guests and employees
Prepare outgoing mail, including overnight express
Read incoming mail and triage in priority order, highlighting important items or requests for action
Maintain filing system
Create and / or maintain SharePoint sites to facilitate team access to office documents
Manage office documents in accordance with enterprise records management procedures

Requirements

Required Qualifications:


High school diploma or equivalent
5+ years of administrative experience, at least 3 of which have included support of senior executives
Intermediate or greater proficiency in Microsoft Word, Outlook, Excel, and PowerPoint
Ability to prioritize multiple tasks and work well under pressure
Strong oral and written communication skills
Ability to work in a large, matrixed corporate environment
Excellent verbal and written communication and grammatical skills
Must have a polished demeanor and be comfortable working with people at all levels
Preferred Qualifications:

Law firm, legal secretary, Litigation or corporate legal department experience
Associate Degree, some college coursework or business vocational school education
Intermediate or greater proficiency with MS Visio 
Strong attention to detail and excellent organizational skills
Experience coordinating large meetings, including WebEx virtual meetings and teleconferences
