A Better Way for Seniors d/b/a Home Instead Senior Care located in Portsmouth, NH Objective: The Full Time entry level Administrative Assistant’s overall objective is to display professionalism and a positive first impression for the company ensuring positive feedback from clients, CAREGivers and the community.
Primary Responsibilities:
- Answer each incoming call by the second ring in a positive and professional manner
- Perform organizational tasks to maintain smooth operational flow
- Sort mail, assist with billing, payroll and long-term care insurance processing, maintain supply list, organize packets for new hires, trainees and marketing collateral
- Maintain an organized and tidy office in between professional cleaning visits
- Provide support to Recruitment and Retention Coordinator to assist in meeting hiring goals
- Conduct phone screens of potential CAREGiver candidates and schedule interview if R&R Coordinator is unavailable
- Welcome potential new hires, trainees, and other visitors with a warm and positive demeanor
- Provide support to Client Care Department to ensure Quality outcomes
- Timely review of daily care log comments. Follow up with administrative details such as mileage, expenses, shift time changes, assessment updates, etc.
- Identify noteworthy or critical information, adding it to the Triage Tracking Log or verbally relaying to Client Care Department based on priority need
- Provide back-up support to Scheduling Department to assist in coordination of scheduling clients and CAREgivers
