About this job

Job Summary

  • Perform a variety of administrative functions in support of a large department, directly supporting department VP and leadership team
  • Organize resources and communications, including written and electronic forms control
  • Schedule and plan meetings, training sessions and travel
  • Compose department and corporate communications
  • Prepare and distribute agendas for meetings and schedules
  • Record, compile, transcribe and distribute minutes of meetings
  • Maintain office inventories
  • Maintain electronic and hard copy filing system
  • Receive, host and direct visitors and customers
  • Resolve administrative problems and inquiries, answering questions regarding business unit policies and procedures
  • Compile information and prepare moderately complex reports using appropriate software to prepare charts, graphs, and tables as necessary for including in reports or presentation materials
  • Maintain the personnel/payroll processing and record keeping, regarding vacation, sick, and weekly schedules for a small leadership team
  • Regular attendance is required

Qualifications

  • High School Diploma and up to 2 years of administrative experience,  or any combination of education and experience which would provide an equivalent background
  • Proficiency in MS Word, Excel, Access and Outlook; computer mainframe experience is required
  • Ability to deliver world class customer service to internal and external customers at all times
  • Must be internet savvy
  • Excellent organizational and time management skills
  • Strong analytical skills
  • Excellent telephone and communication skills with the ability to interface effectively with all levels of customers and company employees
  • Fast and accurate typing skills and computer knowledge
  • Ability to create and format reports from various data sources
  • Ability to work with sensitive information and maintain confidentiality at all times
  • Must be a career oriented, pro-active person
  • Must be a self-starter with ability to work independently and function well in a flexible environment
  • Must be energetic, enthusiastic and reliable
  • Experience in Transportation Industry (LTL) experience preferred
  • Must be organized and able to manage multiple projects at once
  • Must be able to comply with all company policies, rules, procedures and Code of Conduct
  • Must be able to interact well with others
  • Must be able to work independently, or in a team setting
  • Must be capable of working under tight time constraints in a high volume environment with multiple priorities
  • Must be able to lift approximately 10-15 lbs., or more if required by the essential functions of the job
  • Responds well to questions; Ability to read, interpret and comply with written information and documents such as safety rules, operations / procedure manuals and maintenance instructions with a high comprehension and concentration level to include the ability to meet deadlines
  • Must pass a pre-employment drug screen, random drug and/or alcohol tests, and will be subject to a criminal history background check
  • Must be authorized to work in the United States
