SELECTION CRITERIA: Applicant must meet all 3 selection criteria below. Note: College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required experience. Vocational/Technical training in the area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for each year of the required work experience. At least two years of work experience in a clerical or secretarial field, (i.e. opening/sorting/routing mail, data entry, filing, word processing, inventory control, and record keeping). At least one year of work experience in customer service and/or call center experience collecting accounts receivables, answering calls or inquiries from customers or prospective customers to explain services available, correcting errors, providing information, processing orders, taking orders, selling products/services or operating a reception desk. DESCRIPTION This is work performing duties too varied and diverse to be classified in any specific office clerical occupation, requiring basic knowledge of office management systems and procedures. Clerical duties may be assigned in accordance with the office procedures of individual establishments and may include a combination of answering telephones, bookkeeping, typing or computer processing, office machine operation, filing and/or determining program eligibility. Some positions in this occupation may be responsible for coordinating work and supervising employees. This is varied clerical work within the Taxpayer Services Process. Duties performed involve work assignments that require independent judgment and a basic knowledge of the Department's operations. Answer and route calls in accordance with established procedure. Initiate or return calls to or from taxpayers regarding accounts. Receive and respond to telephonic and written requests for DOR forms, publications, brochures, and statutes from internal or external customers and partners. Prepare labels and forward requested document to requester, and document actions in the required system(s) per established procedure. Research returned mail for valid addresses and send out notices as required. Research business partner for valid phone numbers. Conduct other social data research as applicable to their security level. Update system accounts as required. Receive, sort and distribute correspondence, by all tax types. Develop and/or maintain spreadsheet for tracking agent correspondence or workload. Prepare reports as needed. Ensure all payments received are handled and maintained in a secure manner. Maintain accurate check logs for all payments received. Ensure payments received are processed and delivered in a timely manner. Perform clerical duties, including filing and operating duplicating equipment. Ensure adequate staffing by being flexible with leave time and break scheduling. Perform other duties as assigned.
