Responsibilities:
Lease Administration:

a) Maintain all lease administration processes and policies relative to rent and receivables within the Real Estate, Legal, Construction, Facilities and Finance teams
b) Independently resolve complex Landlord issues regarding all rents, receivables, and associated issues
c) Prepare and review lease abstracts as required for various internal partners
d) Interpret lease clauses, where required, and coordinate with management when necessary
e) Maintain correspondence with Landlords including all necessary follow up
f) Monitor Lease critical dates such as lease expirations, renewal options, and early termination rights and advise management as appropriate
g) Prepare all Landlord ownership changes for the Legal Department’s review
h) Prepare documents for legal review (renewal / termination notices, etc.) which consist of verifying current Landlord or Owner, as well as the appropriate lease end and renewal effective dates.
i) Prepare Estoppel Certificates for Legal signoff and follow through to completion
j) Assist in maintaining departmental reports as required
k) Entering of all critical lease documents in the Lucernex system and notify partnering areas as required
l) Special project as required

Insurance Administration:
a) Maintain the companies Real Estate and Personal Property Insurance Schedule and partner with various team members throughout the organization to insure we sustain adequate coverage pursuant to the Lease Agreements
b) Maintain the distribution of all Landlord certificates of insurance

Construction Administration:
a) Maintain Landlord compliance for all Lease obligations pertaining to construction responsibilities amid new and existing leases with our Construction, Real Estate & Legal Departments
b) Coordinate the invoicing and collection of Tenant Improvement Allowance Reimbursements in excess of 40 million dollars
c) Process documentation for rent abatements as necessary

Scope and Impact:
Managing critical dates, timely budgets, accruals and planning/forecast compliance with Lease and Financial objectives.


Education:
Bachelor’s degree or equivalent work experience

Experience:
Minimum 10 years’ experience

Skills and Abilities:
• Ability to lead a team while working effectively with little or no supervision
• Highly organized and skilled with time management
• Ability to be flexible with a strong commitment to a deadline oriented environment
• High energy and professional attitude

• Strong presentation, negotiation, and communication skills
• Strong customer service Landlord/Tenant relation skills
• Understanding of Interior & Exterior Building/Facility Operations
• Ability to build strong working relationships and influence business partners at all levels within and outside the organization
• Proficient in Microsoft Office, specifically Word and Excel
• Experience with Oracle & Lucernex preferred

Physical Requirements:
• Able to sit for long periods in a cubicle
• Lifting 10 LBS
• Periodic / occasional travel may be required
