What will I be doing?

As a Seasonal Guest Services Coordinator you will provide exceptional service to sales and marketing guests and support sales and marketing departments by performing Guest Services, Gifting, Kids Club, Dispatch and Kitchen responsibilities as needed on a rotational basis. This position is responsible for greeting all guests professionally and courteously with a warm smile and professional attitude.  In addition, you’re also responsible for preparing refreshments, catering to the needs of our guests, maintaining the cleanliness of the sales gallery, and keeping kitchen supplies stocked at all times. Ensuring that all guidelines are met in regards to tour bookings; and updating and completing reports and forms to assist in all areas of administration, marketing and/or sales operations. Other administrative tasks may be assigned to you on a regular basis, for example ordering supplies or providing month end support.

 

You would be responsible for executing your position's responsibilities in alignment with our Spirit of Service culture and driving company success through performing the following tasks to the highest standards\:

 
  • Prepares and serves refreshments to guests
  • Maintains kitchen and all necessary supplies
  • Distributes any mail needed for the sales employees
  • Greets customers, vendors, guests, and employees in a manner, which will promote the highest level of customer service per Guest Services Team Handbook.
  • Operates a multi-line phone system and courteously handles incoming telephone calls.
  • Transfers incoming messages as required.
  • Prepares and serves refreshments to guests.
  • Calculates sales line rotation per Sales Dept Operations Manual.
  • Set up the gifting desk every morning with required cash, vouchers, and brochures.
  • Issue and document premiums to departing guests.
  • Excellent phone skills, with a customer friendly demeanor towards all marketing team members as well as other internal and or external customers.  Demonstrates proper telephone techniques and communication etiquette at all times.
  • Provide accurate data entry for guest tour presentation and Resort Stays.
  • Prepare and process manifests of tour appointments, along with tracking throughout the day qualified tours, NQ’s, and No Shows.          
  • Assist in monitoring and distributing marketing support materials.
  • Handle guest complaints as needed in a professional courteous manner, giving 100% customer service, i.e., gifting issues, general customer complaints, and tour reschedules.  Any and all customer complaints need to be sent daily via email to Marketing Management.
  • Answer our toll free line and direct the guests to the right department.
  • Answer / call back all voicemail calls that come in.
