Responsibilities:

Overview

Under the direction of the Nursing staff, will perform a wide variety of duties to provide clerical and administrative support. Activities include maintenance of patient records, room control, unscheduled registrations, order/charge entry, physician orders and insuring adequate and proper office supplies. Assists in unit operational support tasks, works cooperatively with others as part of a team and recognizes the importance of group goals. Responds to patient requests within authorized scope of knowledge and skills. Performs duties and responsibilities in a manner consistent with our mission, values, and Mercy Service Standards.

Safety/Risk Management

a. Complies with infection control guidelines.

b. Adheres to hospital wide safety regulations.

c. Performs equipment safety checks and reports faulty equipment/initiates repair.

d. Follows hospital policy for completion of incident reports/quality reports.

e. Follows confidentiality policy/procedure.

f. Complies with patient rights/regulations.

Coordination of Services

a. Assists in orientation of new/float personnel.

b. Maintains work area :

* Procures and maintains adequate number of necessary forms/supplies, as needed for unit.

* Initiates return of unused/excess supplies and equipment.

* Maintains accurate census information

c. Monitor EHR system lists

* For consults that have no physician assigned and follow up with clinicians, as needed

* For signed and held orders and/or pending orders and follow up with clinicians as needed

* Print list for charge nurse staffing planning just prior to shift change

* Other queues as directed

d. Coordinates workflow by communicating to appropriate personnel in a timely manner

* Promptly respond to patient call lights and notify appropriate co-worker or resolve issue, when possible

* Coordination with Physician and office staff

* Support Services Department

* Care Coordination and Interpreter Services.

e. Greets visitors and family members when arriving on unit

* Respond to patient and visitor questions in a manner that is professional, courteous, timely and

consistent with Mercy Service Standards

* Promptly answer telephone calls in a professional manner

f. Keep staffing grease board updated with assignments and zone numbers when applicable.

g. Prioritizes appropriately and utilizes good use of time

h. Participates in QI activities that ensure and enhance quality of patient care

Financial/Business Operations

a. Complete charge reconciliation process

b. Completion of charge entry for complex procedures (IV infusions) and departmental supplies

c. Census reconciliation and accommodation code review

d. Monitor Supply Charge Capture sheets

e. Identifies cost savings opportunities or operational inefficiencies

Medical Record

a. Maintains the minimal paper medical record:

* Files all reports accurately and timely

* Prepares charts for admissions/discharge/transfer

* Assures all charts are labeled with proper patient information

* Assures charts have necessary forms available and unnecessary forms removed

* Ensures appropriate paper forms are available and stored in paper chart

b. Electronic Health Record Downtime

* Assists with maintaining paper chart during down time situations

* Support downtime planning/preparation by checking BCA computers and other related activities

according to department procedures

* Printing of key patient care reports during scheduled and unscheduled downtime

Technology

a. Demonstrates thorough knowledge of computer/printer functions

b. Utilizes and troubleshoots fax machine, copier, tube system.

c. Facilitates maintenance of equipment.

Qualifications:

Education: High school diploma or GED

Other: Working knowledge of medical terminology, typing and computer data entry skills required. Must have excellent communication skills and guest relations expertise.
