FTE: 1.0 Full Time regular, benefits eligible

Monday through Friday 8a-5pm but could be required to stay as late as 7pm to meet needs of clinic.

GENERAL DESCRIPTION:

Under the general supervision of the Director of Support Services, performs scheduling, clerical, registration, charge entry, insurance benefits verification, pre-certification, reception, and secretarial functions for the different locations of the Robert Young Center, including, CSP, Riverside, Access Center, Enrichment Center, Ricaurte Associates, and the Outpatient Mental Health Center.

MINIMUM QUALIFICATIONS:

A. EDUCATION, TRAINING EXPERIENCE:

High school graduate or the equivalent required.

One year of experience in admitting, registration, and/or insurance verification or other office setting in a hospital setting, preferred.

Office experience preferred.

Customer service skills dealing with professionals and customers in normal business situations as well as service recovery preferred.

Medical Assistant Diploma or on the job training as an MA

B. KNOWLEDGE, ABILITIES SKILLS:

Must be detail oriented and organized to deal with multiple priorities.

Ability to use office machines and perform routine maintenance.

Ability to work with computers including Microsoft Windows required.

Knowledge of Microsoft Office (Excel and Word) preferred.

Must be able to communicate and listen effectively.

Must have interpersonal skill necessary to deal with the public, hospital personnel and patients.

Ability to establish/maintain effective working relationships with fellow employees and clinical staff.

Must have excellent written and verbal communication skills.

Must be accurate with details and communicating messages both face to face and by telephone.

Adaptability and flexibility in moving between various functions and campuses based upon staffing and workload demands.

Coordinates work to achieve maximum productivity and efficiency with little or no supervision.

C. LICENSES, REGISTRATIONS AND CERTIFICATIONS: None

JOB DUTIES:

A. Registration:

. Accurately and thoroughly collects, analyzes, and records client demographic and

insurance/financial data in VisionWorks. Scans insurance cards.

. Updates and edits information in computer, ensuring that all fields are populated correctly and

appropriately, including rolodex, fund pool, and opens programs.

. Completes all required registration forms necessary to meet internal and external requirements.

. Reviews and explains all registration forms prior to obtaining signatures from client or

client representative

. Verifies client identification.

. Provides clients with financial assistance applications per department guidelines.

. Performs pre-certification and insurance benefits verification and enters billing notes.

. Registers inpatient and outpatients and assigns the correct accommodation/location codes.

. Reviews and edits patient accounts and billing notes for current financial status.

. Reviews Medi for RINs, Medicaid and Medicare to verify benefits and eligibility

. Collects co-pays and other self pay balances.

. Collects payment vouchers and forwards to Patient Accounts for processing.

B. Verifies charges and prepares reports for accurate and timely submission to Federal Probation.

C. Verifies funding and charges and prepares reports for accurate and timely submission to DCFS SASS reporting. Enters data into CARES website.

D. Charge Entry:

. Enters, edits and corrects charges/contact notes for clinical staff and psychiatrists.

. Updates group rosters for MH, CSP and Riverside and enters census.

. Reconciles charge entry process for accuracy on a daily basis. Reconciles group rosters against

attendance sheets.

E. Scheduling:

. Schedules appointments for patient evaluations, psychiatric evaluations, medication evaluations,

therapy sessions, DUI evaluations, psychological testing and telepsychiatry.

. Prepares appointment schedules and paperwork for therapists and physicians

. Reviews upcoming appointments for accurate alerts, funding and missing documentation.

. Verifies demographic and funding information at each visit and updates as necessary in

VisionWorks. Scans new insurance cards.

. Maintains and updates Master Schedules for therapists.

. Maintains accurate records of all appointments kept, missed or canceled by acknowledging in the

scheduling module and enters revisits.

. Schedules interpreters as needed.

F. Reception:

. Screens and directs all calls to the appropriate area/person and takes messages as necessary.

. Answers phone promptly and within three rings and with the appropriate scripted greeting.

. Greets and directs all patients/visitors to the Robert Young Center, Riverside, CSP, Ricaurte

Associates and the Enrichment Center.

. Notifies patients of upcoming appointments.

. Prepares materials and initiates paperwork for new patient.

G. Performs medical records functions at CSP, Ricaurte Associates, and the Enrichment Center

. Prepping and Scanning of documents

. Correspondence and Disclosures

. Case Closings

H. Coordinates, reviews documentation, prepares reports, takes attendance and collects fees for the

Riverside VIP program.

I. Provides clerical support to the psychiatrists and clinical staff in their day to day activities.

J. Balance cash box on a daily basis and send monies collected to cashier.

K. Orders and distributes supplies.
