The District Support Specialist is responsible for providing support to the In-Home District in various operational related tasks necessary to maintain day-to-day operations. This position is responsible for Asset Management, Financial Management, Inventory Management, Quality Management System (QMS)/Compliance, Safety, Customer Relations and Parts Management related to assigned District.

JOB DUTIES/RESPONSIBILITIES:
  • Performs Fleet Coordination, including issuing of vans and maintaining current fleet
  • Manages assets including: uniform ordering, receiving, stocking, fulfillment; assigning, tracking and auditing of cell phones for Technicians and Technical Managers; ordering, issuing and coordinating all tools, including calibrated and maintenance tools,equipment, company assets from Technicians' trucks; and updating the Asset Tracking List, and coordinates Rapid Tag renewals for the District
  • Manages finances including: auditing, reconciliation and administration of Credit Cards (Technician and District Procurement Card); administering Account Reclassifications (AC1); communicating with District management on various financial issues in order to assist with resolution; and administering Orange Envelope Process
  • Manages inventory and parts including: conducting Truck Stock Inventories, paperwork and follow up reports; coordinates Technicians truck stock files; conducting Audit File Review/Stock Ledger (PS105); processes Reverse Flow Parts Returns Surplus and Core; sending messages to Parts Distribution Center (PDC) for part orders; and working Daily Transaction Report (DTR)s for District office
  • Administers Home Services Quality Management System (HSQMS) Calibration, Maintenance, Chlorofluorocarbon (CFC) and Refrigeration database management; issues and tracks HSQMS tools assigned; administers compliance tracking (HSQMS training database) for the District and communicates to Technical Managers to discuss Technician Compliance and quality issues; and coordinates Freon and Tank Program, including receive, distribute, maintain logs, recycle and preparation for shipment
  • Manages safety, including coordinating all variable insurance claims, such as worker's compensation, auto accidents and property damage; partners with Sedgwick on damage claims to seek resolution; communicates with customers on property damage claims; maintains all Insurance Claim Files; and participates as Safety Committee members and conducts District Safety Training when needed
  • Works Aging Reports and Multiple attempt reports, manages the customer inquiry list, makes outbound calls to customers, responds to Home Services Quality Assurance feedback (HSQA) and fills out TeleService Quality Assurance forms (TSQA)
  • Orders supplies (Technician and District Office)
  • Performs other duties as assigned
JOB REQUIREMENTS:
18 years of age or older

REQUIRED SKILLS:
  • Knowledge and skill in computers and databases, including Microsoft Office applications (Word, Excel, PowerPoint)
  • Ability to read, write and speak English
  • Ability to follow directions and solve problems
  • Ability to handle multiple tasks in stressful situations and work in a fast-paced environment
  • Ability to apply appropriate use of personal protective equipment (i.e., back belt, safety glasses), where applicable
  • Ability to work in non-air conditioned environment, where applicable
  • Ability to work variable and flexible hours, including overtime
  • Ability to read and utilize reports as needed
  • Ability to follow Home Services Quality Management System (QMS) guidelines
  • Ability to be open to change and to implement change quickly and effectively
