Office Manager needed for a busy pet sitting company. Needed ASAP!
This job is very fast paced and attention to details are a must.There are a lot of tasks that are required in this position.Position hours are 20-30 hours a week between 9-3pm. Pay starts at $12 per hour and will increase depending on performance.You must be willing to work in the field between 9-3 as well as well as occasional other times.This will increase your pay and will help you with the tasks in the office.
Here are some of the job requirements:
Communicating via phone, text, email and face-to-face with past and/or existing clients as well as new customers coming in.
Responding to and communicating with clients should be prompt with as little delays as possible within reason.
All communications should be polite, respectful and professional while always upholding and projecting a sense of honest, honorable, business practices.Maintaining employee/sitter schedules (which can change on an hourly basis).
Create and post new schedules weekly.
Making sure that all reservations, regardless of how they come in (by phone, text, email orwebsite), get promptly added to the schedule and assigned to a sitter as appropriate.
Check, double check, and triple check reservations often, compared to existing schedules, tomake sure that no client ever gets missed.
Maintain Time Off Requests, availability, and employee/sitter call in’s where appointmentswould need to be shifted to other available sitters. This often requires immediate action andcannot afford to be neglected.
Monitor sitter GPS entries frequently to maintain visibility to any possible delays or othersituations that might cause clients to be seen late or missed.Work directly and indirectly with employees/sitters.
Prepare keys, client files and any other resources needed by the sitter before they come in tothe office each morning.
Discuss any current situations or conditions that the sitter will need to be aware of regarding theclients they are seeing that day.
Oversee and handle the distribution of office materials as needed (company shirts, client notesheets, marketing material such as flyers, post cards, etc).
Personally train, or oversee the training of new employees/sitters.
Has the authority to initiate disciplinary action when needed. This includes verbal and/or writtenwarnings, official recorded & documented reprimands, and possible terminations when required.
Document and discuss with (owner) any employee/sitter disciplinary actionthat has been taken or needs to be taken.
Employee/sitter terminations must be discussed verbally with (owner), andreach a consensus on the course of action before the termination is executed.
Generate and send client invoices.
Calculate and initiate Payroll Processing each pay period.
Track and document company expenses.
Document and communicate/discuss payroll amounts and company expenses with (owner).
Track and document maintenance info (oil change, inspection, registration, tires, etc.), mileagelogs, and usage/assignment of company cars.
Refine and formalize the interview and hiring process.
Receive and file all employee resumes/applications, contracts, agreements, and other officialemployment documentation upon hiring.
Find ways to improve team moral, and reduce employee/sitter turnover.
Help design and implement creative ways to market and expand the business.
