Front Office Administrative Support Specialist
This position is looking for 3 Front Office Administrative Support Specialists!
Monday-Friday, Flexible hours!
POSITION PURPOSE AND OBJECTIVES
The job of the Front Office Administrative Support Specialist is to assist all departments in regards to unemployment processing. The Front Office Administrative Support Specialist should be familiar with standard concepts, practices, and procedures within their job role. They must have the ability to take initiative and work independently with little supervision as well as work well with varying levels of internal management staff while maintaining positive working relationships with clients, peers and other team members. This role reports directly to the Administrative Support Team Lead.
PRIMARY JOB FUNCTION
Slice, open and sort daily mail and distribute to Mail Collection Center
Maybe required to take company mail to the post office in the afternoons
Check all returned mail and distribute to assigned resource
Pick up and post mail and distribute to appropriate resource
Stamp all incoming claims in the morning
Sort, barcode, and batch claims for Advanced Capture and distribute to appropriate resource
Enter claims into computer and distribute to assigned resource
Index exceptions for Advanced Capture Claims
Complete exceptions in Workflow for Advanced Capture Claims
Print, enter, sort, and distribute documents from claims
Provide assigned resource with claim counts from claims
Prepare folders for distribution boxes
Clear out unknown folder next to copier in Building A, downstairs
Collect, sort, batch, scan, and email forward mail to clients
Send all regular CTC's out to clients for favorable decisions
Enter North Dakota, Mississippi SIDES, and Missouri Notice of Wages Claims
Print and enter claims, decisions, and hearings from Florida and Massachusetts websites and distribute to appropriate resource
Keep log of hearings printed from Florida website for cross referencing purposes
Staple, sort, and social documents from websites
Enter Massachusetts claims and provide to assigned resource for indexing
Monitor incoming faxes and route, print, and distribute accordingly
Forward documents to cancelled clients
Enter claim counts from all sources, calculate totals, and distribute to assigned resources
Manage all company supply requests and order as needed. Distribute to individuals or assigned area.
Pick up and prep ACR responses for mailing and distribute to appropriate resource
Check and Commit all batches in the Awaiting Commit folder in Onbase.
Maintain and update the Advance Capture Claim Book
Maintain and update Main Advanced Capture counts and calculate totals
Sort Advanced Capture Claims and prepare for scanning
Enter North Dakota, Mississippi SIDES, and Missouri Notice of Wages claims and distribute to appropriate resource
Index batches from "TNT from Disk Queue and TNT "Other".
Offer back up support to Front Office Reception Desk when needed

Requirements
Front Office Administrative Support Specialist
High School Diploma or Equivalent
1 year working in an Administrative position preferred but not required
To be considered for an internal transfer for this position you will need to have been employed in your current position for a minimum of 12 months. All internal candidates will require 12 months of satisfactory performance evaluation and be within good standings of all Company Policies.
