The role is integral to the support of building out of our new Pennsylvania office. Reporting to the President, the Executive Administrative Assistant / Office Manager will be responsible for a comprehensive range of administrative support for all office colleagues, as well as special projects / project management, as needed. This proactive and independently working professional will be expected to deliver the highest level of administrative responsibilities and support projects. This role requires interfacing with multiple stakeholders at all levels of the organization internally and at times externally. The candidate will partner with other administrative staff members in a team oriented approach.Principle Responsibilities* Provide extensive administrative support to the President and as needed to office staff* Proactive and diplomatic management of highly dynamic calendars, including: scheduling high-level, time-sensitive meetings; responding to all meeting invitations; anticipating and dealing with conflicts; prioritizing and engaging with others to solve* Manage travel arrangements (domestic and international), screen and triage phone calls, handle incoming and outgoing mail, process expenses, and order supplies* Initiate and manage purchase orders, process accounts payable invoices / check requests and other financial documents through company systems, and track payment of invoices as requested; proactively work with Finance as needed* Expense reporting for President and expense report approval assistance, in strict compliance with legislative and company travel, entertainment and physician payment policy* Manage document resources on company document sharing sites, including uploading materials and maintaining currency of the documents* Coordinate activities for meetings and events including scheduling and if necessary ordering food, handling logistics for both on- and offsite meetings and events (local and remote locations), and handling issues as they arise* Manage logistical onboarding, offboarding, and contract renewal for staff including contractors, including aspects related to systems and equipment* Provide basic administrative support to visitors including scheduling meetings, updating travel arrangements, arranging for wi-fi and office access, printing, and providing other site-specific assistance* Provide thoughtful, timely, detail-oriented support for other projects based on group needs* Create and maintain business-critical distribution and mailing lists* Aid in maintaining compliance with regulatory and company policies and guidelines, including Standard Operating ProceduresRequirementsCandidate Requirements* 10+ years of experience in an administrative assistant or coordinator experience that demonstrates an ability to carry out all office functions proficiently; high school degree or equivalent required; some college coursework preferred* Strong project/process management experience required* Advanced Internet/Intranet skills and strong knowledge of Microsoft Office (Outlook, Excel, PowerPoint and Word) is required* Experience with leading and coordinating WebEx and conference call sessions* Experienced in travel planning (air, ground, lodging) in various US-based and international locations* Must have demonstrated ability to prioritize multiple projects/workflow and manage time efficiently to meet established timelines* Experienced in successfully completing tasks with minimal direction from manager and/or supervisor* Must be able to proactively improve processes, initiate projects and implement changes, as opportunities are identified This is a headquarters-based position that will not require travel* Availability to work flexible hours (early AM, overtime, etc.) when needed but not likely to be frequent* Ability to provide references of previous work relating to administrative assistanceHighlightsThe right individual for this job will be motivated to join a highly successful entrepreneurial organization that is transitioning from a nimble research and development organization to a fully integrated pharmaceutical commercial entity offering a highly differentiated product and unique approach to the market.
