Kelly Services is looking for a highly motivated, self-directed, experienced person to fill a temporary Health Services Administrative Assistant/Receptionist role for one of our best customers, a global water and process solutions company in Edina, MN.
The purpose of The Health Services Administrator position is to be the focal point for administration of Health Services policies, processes, and programs. The Incumbent will be responsible for health services administration across the Edina, MN location directly supporting HR Manager, Site/Dept. Managers, Workforce Planning, EH&S and taking independent responsibility for resolving questions/issues with employees and managers since this integral role is the frontline contact for employees, new hires and managers seeking health services support. As such this role serves as the employee advocate, interfacing with all Health Services functions. This role with also provide back-up support and break coverage for the receptionist position.
Role: Health Services Administrative Assistant/Receptionist
Location: Edina, MN
Hours: M-F 6:30am to 3pm
Length of assignment: 6 months or longer depending on customer’s needs
Job duties:
Primary Responsibilities:
Uphold the importance of the confidentiality and integrity of the data created and maintained in personnel and medical databases
Manage employee records, working to ensure proper recording, scanning, transferring, filing, and retention of all Site employee records within the DOW Global Health Services systems
Work closely with the Health Services to provide data in support of EH&S, Hiring Supervisors, external vendors for medical clinics, HR staff, as well as working directly with multiple offsite medical clinics
Manage multiple functional databases and ensure regulatory compliance for planning, scheduling and tracking exams and medical records
Primary focal point for the scheduling of new hire exams including contacting applicants to ensure scheduling takes place with appropriate providers to ensure timely medical clearances
Create and maintain schedules for Health Services campaigns to ensure employees are compliant with expectations
Manage calendar scheduling for nurses and EH&S manager
Manage inventory of medical and office supplies including purchasing/stocking
Participate on the site Total Worker Health team to promote healthy workplace activities (blood drive, annual health fair, health promotions, etc)
Create, develop, and maintain Health Services resources on specialty health topics to support the corporate Healthy Culture / Health People initiatives
Responsibilities as they pertain to the Receptionist role:
Understand all working of the front desk to be able to act as a back-up to the current receptionist.
Provide break-coverage at the front desk
Open to taking on tasks as time permits
IM (Incident Management Database) Coordinator Responsibilities:
Serve as IM tool back-up focal point for site.
Ensure IM data quality for the site (i.e., data is entered accurately, timely and completely)
Responsible for the capture and collection of all reporting metrics (Personal injury and/or illness, Environmental metrics, Process Safety, Fines & Penalties, and Motor Vehicle) for the site.
Requirements:
A minimum of a high school diploma or equivalent is required but an Associate's degree is preferred
7-10 years of administrative experience
Some knowledge of, human resources, health services policies/procedures, medical record management and medical terminology is preferred
Strong communication skills (both verbal and written)
Ability to multi-task in managing multiple projects and priorities
Be able to prepare new or edit existing operating disciplines and job processes
Able to accurately input and maintain confidential data in integrated systems
Presents a professional persona in all situations
Must be able to work independently and proactively under tight deadlines
Excellent interpersonal skills, initiative, teamwork and professionalism are critical.
Knowledge of Microsoft Suite (Excel, Word, Outlook and PowerPoint)
Able to manage multiple phone lines

HTML coding experience is a plus
