Location: Port Washington, NY Position Overview: Assisting the Executive Assistant to the CEO, this position will provide administrative support to the CEO and Executive Team. Responsibilities/Essential Functions: * Provide support of the CEO s calendar; scheduling, confirming, as well as, meeting logistics (e.g. catering, location, handouts, etc.). * Perform administrative work responsibly and in a timely manner, exercising considerable independence and sound judgment in decision-making. * Track relevant travel and expense receipts for accurate accounting reconciliations. File and track reimbursements, credits, and refunds. * Manage multiple special projects including client meetings and dinners, off-site executive meetings, event planning for trade shows/exhibitions, and meetings with outside business partners and clients. * Receive and interact with executive guests and visitors. * Represent the CEO by projecting a professional and supportive image to all parties in the screening of telephone calls, internal clients and guests. Prioritize people and situations in need of attention. * Create, edit and polish documents including meeting agendas and meeting notes demonstrating proficiency in Microsoft Office. * Handle highly confidential and sensitive information with the appropriate discretion. * Coordinate with other assistants serving as team leader and back up when needed. * Working within our internal systems to run reports and respond to inquiries. Qualifications/Requirements: * Bachelor s Degree preferred * 3 years of experience in C-level administrative support * Demonstrates initiative, flexibility, teamwork, maturity under pressure, and anticipates and resolves problems * Demonstrate experience managing complex projects or coordinating large-scale events * Strong communication, both written and verbal * Superior organizational skills, detail oriented, must be able to manage multiple priorities and meet deadlines * Ability to work independently and in a dynamic, high energy, team-oriented atmosphere. * High level of proficiency with Microsoft office * Wine knowledge a plus Benefits Overview: Palm Bay offers a competitive compensation package including medical, dental, vision, life insurance, 401(K), paid vacation, personal time off and 11 paid company holidays.
