A successful Executive Assistant will have the following:

  • Bachelor's degree from four-year college or university, or 2 years of experience; and 5 years related experience; or equivalent combination of education and experience.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. 
  • Ability to write routine reports and correspondence. Requires high level computer expertise, including use of database, word processing, spreadsheet, and presentation applications, ability to train preferred; general office knowledge involving filing, data entry, operating multi-line phone system and customer service. 
  • Strong organizational, written and oral communication skills. High level knowledge regarding the access and effective utilization of resources. Self-directed. 
  • Ability to exercise discretion and maintain confidentiality of sensitive information.
  • Strong ability to solve practical problems in a timely manner and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Ability to anticipate the business and organizational needs of 3-4 executives 
  • Ability effectively screens requests directed at Executive Staff and independently resolves most requests.
  • High level of organization and time management skills.

 

 

 

 

The Executive Assistant / Office Manager will be a key member of the Media Sales team by:

  • Creates and maintains reporting relative to project milestones.
  • Manages supervisor’s calendar and independently schedules appointments. This will include arranging complex and detailed travel plans and itineraries, compiles documents for travel-related meetings, and accompanies supervisor when requested.
  • Screens incoming calls and correspondence and responds independently when possibly. Provides back up phone support on a daily basis in order to ensure phone coverage for various team managers.
  • Maintains travel and vacation calendars on a daily basis for executive staff. Arranges programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget.
  • Directs preparation of records such as agendas, notices, minutes, and resolutions for corporate meetings.
  • Creates and approves purchase order requests on a daily basis using appropriate accounting software.
  • Orders and delivers office supplies/equipment and catering on a weekly basis. Prepare expense reports for executive staff. Directs preparation and filing of corporate legal documents with government agencies to conform to statutes.
  • Works closely with building and company facilities closely to manage office needs.
  • Works closely with HR to assist in interview and onboarding process.
