The Congress & Events Manager is responsible for managing the overall planning and execution of logistics surrounding congresses and ancillary meetings and events. The Congress & Events Manager must manage every phase of the planning process and may be responsible for various congresses and events simultaneously. JOB FUNCTIONS: The Congress & Events Manager is responsible for working directly with client to implement congress strategy/objectives, and ensure these are executed to meet or exceed client's expectations. Lead weekly client status update calls. Prepare agenda and distribute notes post-call, identifying action items for all parties (client, vendors, etc.)Develop congress planning timelines for both internal and external useCreate and review CVENT registration sitesOversee congress vendors including but not limited to: organizers, exhibit house; hotel, catering, AV, restaurants, etc..Proactively identify problems and address them efficiently and appropriatelyDevelop and maintain budget tracker, and complete post-event budget reconciliation, finalizing and verifying all expensesReview and negotiate contracts with vendorsWork with compliance manager to ensure all pharmaceutical compliance requirements are met, and complete post-event compliance tasks Provide superior customer service and maintain communication with clients KNOWLEDGE, SKILLS AND ABILITIES REQUIRED: ANALYTICAL SKILLS – Ability to compare, contrast and quality check work and keen attention to detail. COMMUNICATION SKILLS – Superior interpersonal and customer service/conflict resolution skills. COMPUTER SKILLS – Proficient in Microsoft Office Including Word, Excel and Power Point, especially spreadsheets, database and reporting tools. Knowledge of CVENT is preferred. DECISION MAKING SKILLS – Ability to make clear, concise decisions and solve complex problems. ESTABLISHING AND MAINTAINING INTERPERSONAL RELATIONSHIPS – Establishing and maintaining an excellent relationship with the client and event participants ORGANIZATIONAL SKILLS – Ability to organize, plan and prioritize work in a fast-paced work environment. Ability to achieve goals in a timely fashion. TRAVEL – Flexibility to travel to meet with clients and provide onsite logistics support at events is required. This may include weekend and evening hours. Work Environment This job is a professional office environment. Position Type/Expected Hours of Work This is a full-time position. Hours of work are Monday through Friday, 9:00 a.m. – 5:00 p.m., 40 hours per week. REQUIRED EDUCATION & EXPERIENCE: Bachelor's degree + 5 years of experience Highly organized and detailed, outside the box thinker Pharmaceutical and/or agency experience preferred Fluency with Microsoft Office Required; Experience with CVENT preferred Meetingjobs.com.
