Job Responsibilities/Duties
Under minimal supervision, perform a variety of secretarial, clerical and administrative functions in supporting the PI Managers and other personnel for the PI organization. The main function of this position supports the PI Manager but also requires providing support to 5 Level 2 Managers and occasional support of roughly 40-50 personnel within PI. Arrange business itineraries, and coordinate manager's travel requirements.Complete, submit and track employee reimbursement paperwork.Perform administrative functions requiring comprehensive knowledge of departmental and company practices, and the ability to exercise personal judgment in performing job responsibilities while maintaining confidentiality. Prepare and issue quality and timely correspondence, reports, and presentation materials to ensure products contain zero defects before delivery. Attend and represent the Project Integration organization at quarterly Executive Assistant meetings and pass down information to other Project Integration secretarial and clerical staff as needed. Order and maintain supplies for department or project.Prepare meeting agendas and minutes when requested.Provide occasional backup to front-desk attendant.Track miscellaneous items (monthly MOPs, ESTARs, PERS, training appointments, TIS, etc.) in support of PI.Schedule appointments and coordinate the department's or manager's interface with other company organizations, clients, and external groups. Maintain and track Morale and Motivation (M&M) budgets. Establish and maintain department and/or project files. Update and maintain information in databases as required. Coordinate and arrange meetings, events, visits and tours as required. This may include working with other personnel to coordinate schedules, resources, and working with outside vendors as needed. Work with manager to support coordinating resources for new employees. Operate standard office equipment such as personal computers, printers, phone systems, scanners, copiers, fax machines, etc. Use initiative and judgment during manager's absence to see that matters requiring attention are referred to delegated authority or handled in a timely manner to minimize the effect of the manager's absence.
Required Qualifications
High School diploma or equivalent and 10 years administrative experience.

Must possess excellent written and verbal communication skills.Possess a thorough and extensive knowledge of office practices and procedures. Skilled in Microsoft Office tools – Word, PowerPoint, Excel
