Job Description:
The Technology and Facility Services Operations Coordinator will perform administrative and operations functions to support the CIO and other staff in the office. This position requires critical thinking and strong organization skills to ensure work is prioritized and completed on time. A high degree of professionalism; understanding of the confidential nature of information; courtesy; and strong interpersonal skills are necessary to interact with internal and external customers. Initiative, problem solving skills, accuracy and attention to detail are required to independently manage tasks.

Essential Duties and Responsibilities :

* Support the CIO, AVP for Analytics and Decision Support, and other management staff to effectively organize the work of the office to deliver high quality technology and facility services. Work with staff in a helpful, courteous manner with a high degree of integrity while protecting confidential information.
* Independently plan for and coordinate meetings by preparing and distributing meeting materials; reserving and preparing meeting facilities; setting up audio/visual equipment; and recording meeting minutes.
* Collaborate with the CIO, AVP for Analytics and Decision Support, and other management staff on maintaining technology governance schedules.
* Assist the CIO, AVP for Analytics and Decision Support, and other management staff with the analysis of business documents for accuracy while prioritizing tasks to meet tactical and operational goals and deadlines.
* Maintain electronic calendar schedules for the CIO, AVP for Analytics and Decision Support, and other management staff with a high degree of accuracy. Coordinate resources, anticipate individual preferences, and resolve scheduling conflicts.
* Preserve a strong collaborative relationship with all internal and external clients.
* Manage the CIO, AVP for Analytics and Decision Support, and office subscriptions, research, and electronic journals.
* Develop and maintain paper and electronic filing systems using Microsoft SharePoint.
* Coordinate travel arrangements for office staff through travel agency; register staff for conferences and workshops, complete travel request forms and expense reports; and route all paperwork appropriately.
* Assist Hiring Managers with onboarding of new staff. Coordinate and schedule telephone and on-site interviews, welcome and orient new employees, and maintain the office organization chart.
* Reconcile monthly credit card statements for the CIO, AVP and the office.
* Perform administrative duties including written correspondence, reports, spreadsheets, proof reading, answering the telephone, greet visitors, order office supplies, maintain and stock the office kitchenette.
* Oversee the office Employee Recognition Program.
* Serve as alternate Contracts and Purchasing Coordinator.
* Serve as the office Planning Committee Chair; plan and organize department events including staff retreats and celebrations.
* Represent the office of the CIO as the Communications Ambassador.
* Serve on committees and participate in college wide events.
* Attend professional training and conferences.
* Other work as assigned.
