Job Summary

AECOM is looking for

Cleared Mission Support Administrators with

active high level government clearances - Top Secret / SCI with Polygraph.

The scope of Level II Mission Support Administrator work is to provide assistance to the completion of routine to moderately complex tasks for general office and/or program support.

Duties and Responsibilities

  • Finance

  • Maintains and reconciles accounting records

  • Processes travel, training, and POV vouchers

  • Assists with the approval process for credit card purchasing

  • Handles disbursing transactions including airline tickets, metro checks, and general travel information

  • Tracks overall program spending, including burn rates on individual contracts

  • Office Administration

  • Maintains a schedule of appointments for a manager or office

  • Monitors e-mail and telephones of manager(s) or office members.

  • Drafts, proofreads, and edits all correspondence.

  • Tracks and monitors status of incoming and outgoing cable traffic.

  • Produces other documents such as instructions, spreadsheets, presentations, and reports.

  • Passes and receives clearances and prepares access lists as necessary

  • Information Management

  • Maintains tracking records and filing systems; archives files as necessary.

  • Maintains and updates databases or spreadsheets.

  • Performs data input, data collection and research; retrieves information or documents from databases and the Internet.

  • Performs as a focal point for response to queries regarding local in-house and Agency-wide administrative databases, such as those for Training and Timekeeping.

  • Presents information through briefings to various audiences

  • Prepares and tracks various statistics

  • Evaluates, proposes, and/or implements innovative and/or new administrative processes to improve the efficiency and effectiveness of support administration.

  • Office Management

  • Coordinates and/or participates in the scheduling, organizing, and execution of meetings, conferences, and off-sites

  • Participates in meetings and events: serving as recorder or working member of group, and may brief or present administrative support related information

  • Makes travel arrangements for unit managers and others

  • Greets and/or escorts visitors and guests

  • Opens, sorts and distributes incoming mail, newspapers, faxes, and other publications/documents

  • Prepares weekly status reports of action items and completion of tasks related to the execution of a program, process, or transaction

  • Provides back up support and assistance to office support positions and functions, as required

  • Logistics

  • Assists in the ordering of supplies and arranging for the repair of office equipment

  • Maintains inventory; issues equipment, records, receipts, or supplies

  • Orders and assigns various key material in support of customer requirements

  • Researches pouch shipments and initiates pouch traces

  • Assists in the oversight and accounting for inventory

  • Assists in the transportation of material and people

  • Assists with office renovations and move management activities

  • Assists with work pertaining to the procurement, inventory control, and destruction of registered cryptographic material utilized by the Agency

  • Coordinates Agency wide cryptographic key requirements within the Agency

  • Assists with the responsibilities for pouching of classified material to the field

IND-ICS

Minimum Requirements

  • Five years of administrative support experience as a Level I Mission Support Administrator, or comparable experience.

  • Top Secret / SCI with government Polygraph, TS/SCI with Poly

Preferred Qualifications

Knowledge, Skills and Abilities

  • Ability to obtain working knowledge of Agency and/or IC regulations, policies, practices, and procedures

  • Thorough knowledge in the use of MS Office, the Internet, and other internal applications necessary to complete routine and moderately complex tasks.

  • Basic knowledge of Contracting Officer's Technical Representative concepts and principles.

  • Analytical skills sufficient to assess moderately complex information from multiple sources and draw logical conclusions

  • Strong interpersonal skills to maintain effective working relationships with team and customers

  • Strong oral and written communication skills sufficient to compose and deliver responses to customers' routine to moderately complex questions in a clear and concise manner

  • Ability to perform as a focal point for a program or process

  • Ability to manage own activities and office workflow under tight deadlines

  • Ability to efficiently and rapidly store and retrieve information using filing and tracking systems

  • Ability to establish administrative contacts and professional relationships for networking and liaison across the Agency/IC

  • Ability to apply a strong customer focus orientation to understand customer requirements, suggest, and implement solutions

  • Ability to ensure that management, co-workers, customers, and stakeholders are kept informed

  • Ability to adapt to changing work requirements and priorities that may require overtime or extended hours

  • Ability to be discreet and maintain confidentiality
