Job Title: Service Coordinator

Job Summary: Under general supervision, conduct telephonic and electronic follow up and closing functions for open work orders on dedicated National and Supplier Management Accounts in order to meet the objectives of the those account programs and the contractual obligations of each client. This role ensures work orders are completed on time and that vendors and clients receive timely updates.

Essential Duties and Responsibilities:

  • Conduct telephonic and electronic follow up with a large database of service providers on all open work orders for each National Accounts/Supplier Management account to ensure work orders are completed in a timely manner, per the customer contractual timelines
  • Communicate with landlords and service providers to ensure proper completion of their work orders
  • Prioritize work to achieve client contractual performance standards
  • Deliver clear, concise and professional email communication
  • Communicate with the internal account team, account lead, and the procurement department when a new supplier is needed to complete a work order
  • Communicate with external customer/account team as necessary to relay work order status updates and related information
  • Communicate with the internal account team, preventative maintenance lead, and the procurement department when a supplier needs to be removed from the database
  • Communicate to the procurement department when any changes to supplier profile (i.e. address, phone number, fax number, email address, method of dispatch, etc.) are needed
  • Coordinate daily with National Accounts/Supplier Management team to facilitate the work flow and ensure timeframes/requirements are met
  • Make continual recommendations for process improvement

Qualifications:

  • High School Diploma
  • One year experience in a facilities maintenance, property management or customer service role required
  • Proficiency in Lotus Notes and MS Windows Applications, to include MS Excel/Word
