Position Summary:

The Senior Lease Administrator’s responsibility is the timely and accurate lease abstracting, data processing, file maintenance and review of all leases, renewals, amendments, change of ownerships and required notifications to ensure compliance of Landlord and Tenant financial obligations in over 500 Burlington leases.

Responsibilities:

Monitor and maintain lease data base accuracy within the Lucernex system

Work with Landlord’s and corporate partners as required to resolve any financial issues relative to rents, co-tenancy, liquidated damages, tenant allowances or other financial obligations within the lease.

Prepare lease abstracts within the Lucernex system and work with 3rd party vendors, if required, as well as Legal partners to enhance and maintain a robust data base for enhanced reporting capabilities

Maintain all lease documentation , landlord correspondence, change of ownership, certificates of insurance required to administer the leases

Monitor and report on critical dates , to include; lease expirations, renewal options, termination periods, and proactively advise management

Prepare notification documents as required under the lease for renewal / termination, etc. working with Legal partners - Estoppel and SNDA agreements - working with Legal, Real Estate and Facility partners to assure accuracy of information

Maintain Real Estate and Personal Property Insurance requirements under the leases - partnering with various team members throughout the organization to insure we sustain adequate coverage pursuant to the Lease Agreements - maintain the distribution of all Landlord certificates of insurance

Invoice Landlords for Tenant Improvement Allowances - communicating with Landlords and partnering with Real Estate, Legal and Construction for the prompt collection of funds

Scope and Impact:

Managing critical dates and the accuracy of information within the Lease system database is critical to maintaining our lease obligations and securing renewal options. This is an important role within the Lease Administration department that will work closely with Real Estate, Legal, Construction and Finance partners.

Education:

• Bachelor’s degree or equivalent work experience

Experience:

• Minimum 10 years’ experience

Skills and Abilities:

• Knowledge of Real Estate leasing – the lease and ancillary real estate documents

• Ability to work independently with great attention to detail and financial accuracy

• Highly organized and skilled with time management

• Ability to be flexible with a strong commitment to a deadline oriented environment

• High energy and professional attitude – ability to work well with business partners throughout the organization

• Integrity, passion and a positive work ethic

• Strong presentation, negotiation, and communication skills

• Strong customer service Landlord/Tenant relation skills

• Proficient in Microsoft Office, specifically Word and Excel

• Experience with Lease Data Base and Payable systems - Oracle & Lucernex preferred

Physical Requirements:

• Able to sit for long periods in a cubicle

• Lifting 10 LBS

• Periodic / occasional travel may be required
