POSITION SUMMARY
Enhances attorney effectiveness by providing information management support; representing the attorney(s) to clients and others. Assist attorney(s) with preparation of legal documents, correspondence, etc. Perform general secretarial duties such as filing/scanning, ordering supplies, time keeping, scheduling, and answering phones.
EDUCATION AND/OR EXPERIENCE
High school diploma or the equivalent. Two years of law firm legal assistant experience preferred.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
Strong typing skills and the ability to operate general office equipment such as telephone, copy and fax machines. Familiarity with legal terminology and procedures. Experience with case management software preferred. Strong organizational skills and the ability to multi-task. Proficient in Microsoft Office Suite applications. Must have good interpersonal communication skills. Reasonable, regular, and predictable attendance is required.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics; coordinating case preparation.
- Filing and electronic filing of documents
- Handle various telephone responsibilities such as take and deliver messages to attorney, set up conference calls, schedule appointments, etc.
- Client contact/client relations
- Conserves attorneys time by reading, researching, reviewing, verifying, and routing correspondence, reports, and legal documents; drafting letters and documents; collecting and analyzing information; initiating telecommunications; organizing clients conferences, and attorney meetings.
- Schedules court reporters, expert witnesses, and other special functions.
- Coordinates the preparation of charts, graphs, and other courtroom visuals.
- Maintains attorney calendar by planning and scheduling conferences, teleconferences, depositions, and travel.
- Records and monitors court appearance dates, pleadings, and filing requirements.
- Maintains client confidence by keeping client/attorney information confidential.
- Process incoming/outgoing mail
- Draft letters/pleadings
- Edit and proofread documents
- Time entry
- File, scan, and import documents into case management system
- Calendar events for attorney
- Must be able to docket and meet deadlines
- Coordinate travel arrangements
- Screen client calls and gather client intake information
- Perform conflict checks on potential matters
- Other duties as assigned
