Job Title: Subcontract Coordinator - Vendors and Materials

Job Summary: EMCOR Facility Services (EFS) provides full spectrum facility services to public and private sectors of nearly every market. Managing more than 1 billion square feet worldwide, our people have the optimal blend of capabilities and technical expertise to help clients achieve the highest levels of performance. EFS is seeking a Subcontract Coordinator in support of our client’s portfolio of approximately 6 locations in Fairfield county. Under general supervision, the Subcontract Coordinator plans, directs, and coordinates activities of onsite vendors to ensure that goals or objectives are accomplished within prescribed time frame and funding parameters by performing the following duties personally or through subordinate supervisors. Will also participate in and provide support for site purchasing of materials at competitive rates.

Essential Duties and Responsibilities:

  • Establishes and maintains organized contract files
  • Provide site support through RFP process
  • Participate in scope definition and level bids for potential new contracts
  • Manage existing contracts, ensure that money, services and goods are received on time
  • Modify, update, and maintain contracts and associated documentation
  • Build and maintain vendor relationships
  • Vendor management performance, metrics and execution
  • Participate in ordering and sourcing material
  • Assist in sourcing new vendors and provide and maintain required onboarding documentation
  • Maintain and track current COI’s for account
  • Participates in accounts payable cleanup as necessary
  • Plans and leads required meetings with corporate team and client
  • Participates in estimating and budget preparation for variable and fixed services on site in accordance with established Standard Operating Procedures and guidelines.
  • Establishes fixed preventative maintenance budget from estimates and proposals
  • Participates in furnishing monthly accruals to client for small projects
  • Provides required cost and schedule updates to keep Work Order Management system updated and accurate on a monthly basis
Qualifications:
  • Associate's degree or equivalent from two-year college preferred
  • 5-7 Years related experience in purchasing, contracting or vendor management; or equivalent combination of education, and experience
  • Valid state drivers license
  • Ability to read, analyze, and interpret contractual documents and assist in preparation of RFP’s. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and vendors. Ability to design, improve and implement processes and procedures to achieve optimal role functions
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry. Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Employee must be able to interpret and read blue prints, possess experience in standard construction processes
