Job Description:

Performs a variety of moderately complex administrative functions to support a group of Directors and their team in a fast paced, multi-tasking environment.  Requires competency in organization, customer focus, change & innovation, strategic thinking, relationship building & influencing, talent management, results focus and inspirational leadership. Performs other duties and special projects as assigned.

Responsibilities:

  • Coordinate meetings, conference calls, travel, events, time off, etc.
  • Using an array of business software applications (e.g. Microsoft Suite) to prepare presentations, departmental reports and organizational charts.
  • Prioritize, plan and organize multiple projects simultaneously, monitor invoices. May assist with compiling and developing annual budget.
  • Manage department office supplies and mail, attend meetings and keep notes on meeting content.
  • Maintain full understanding and knowledge of office practices and act as resource for business unit’s policies and procedures. May file help desk tickets to update/correct permissions.
  • Solicit input, develop agendas, and organize attachments for various regularly scheduled meetings.
  • Support the team by performing administrative work of a complex nature including planning, coordinating, organizing, and producing work that requires a high level of discretion and confidentiality.
  • Analyze problems, determine approach, compile and analyze data, and prepare reports and recommendations.
  • Coordinate reward & recognition across organization.
  • Coordinate activities between departments and outside parties. Contact company personnel, outside counsel and industry associations at all organizational levels to gather information on behalf of the executive.


Qualifications:

Minimum required
†5+ years of experience providing administrative support
†Advanced knowledge and skills of administrative work and processes
†Advanced organizational, written, and verbal communication skills
†Advanced proficiency with Microsoft Office including Outlook, Excel, PowerPoint
†Knowledge of SharePoint, Workday, Kronos and Concur a plus but not required. Ã¢â‚¬ May assist less experienced peers
 
Education
†High School Diploma/GED
