About this job

A nationally recognized company with regional headquarters located in South Orange County has an immediate opening for an Offices Services / Mail Clerk. This is an entry-level position; however, some knowledge of shipping/mailing is necessary. This individual is primarily responsible for all duties associated with the smooth running of the mailroom: shipping, receiving, couriers, mail and mail distribution. They are also responsible for assisting the Copy Center department and performing light maintenance duties as needed.

The hours are Monday – Friday, 8AM to 5PM, with some overtime possible. This is a temp-to-hire opportunity, with a starting pay of $14 to $15/hour, based on experience.

KEY RESPONSIBILITIES & ACCOUNTABILITIES:
  • Receives, processes and distributes all incoming mail and packages for the company and its affiliates
  • Performs daily mail distribution runs on schedule
  • Packages, weighs and ships all orders from the Copy Center to customers and clients
  • Receives and sorts contents of courier bags, and makes sure bags are ready for courier pick-up
  • Answers all shipping/mail inquiries from company staff (tracking, signatures etc.) and troubleshoots any issues in a responsible, solutions-oriented manner
  • Maintains accurate and up-to-date invoice filing system
  • Proactively monitors the inventory level of the packaging supplies, paper inventory and funds in the stamping machine, and coordinates reordering with the Office Manager
  • Restocks all supplies and inventory received into the Copy Center
  • Coordinates on-site shredding and recycling pick-up with Goodwill Industries
  • Handles all bulk mailing jobs using the folding & inserting equipment
  • Performs meter reads on leased assets, and submits the readings to the appropriate vendors on time each month
  • Proactively monitors and reports facilities issues to Office Manager
  • Performs light maintenance, as needed
  • Assists large format printing department, as needed
  • Other duties as assigned
SKILLS:
  • Microsoft Office knowledgeable
  • Shipping, receiving and tracking software (FedEx online, Smart Track etc.) knowledgeable
  • Ability to effectively multi-task and prioritize work to meet deadlines and shifting needs
  • Excellent communication and interpersonal skills to deal effectively with a variety of environments, people and needs
  • Excellent organizational skills
  • Must be able to stand and move-around for lengthy periods of time – this is not a desk job
  • Self-motivated, goal-oriented and accountable
QUALIFICATIONS:
  • High school diploma
  • Able to learn quickly on the job
  • Must be able to lift 25 lbs.
