Key players have a crucial role in facilitating care for our Seniors and support for our CAREGivers. Our Office Coordinator is the first point of contact for clients, CAREGivers and perspective customers. As the face of our office you are the brand ambassador from the moment they walk in our doors or call our office. Our ideal candidate is warm, friendly and consistent exemplary figure that extends our culture and missions while performing their administrative duties in an accurate and productive manner. Our Home Instead Senior Care Office Coordinator will oversee and facilitate our inbound telephone call volume, incoming calls and inquiries in a friendly, helpful, compassionate and knowledgeable manner. Customer service training, telephone skills and call center training and previous experience is ideal. The ideal candidate will also possess CAREGiving experience as well as the ability to work independently.

Primary Responsibilities:
 

  • Reflect the core values of Rogue Valley Senior Care LLC, d.b.a. an independently owned and operated Home Instead Senior Care franchise.
  • Greet and welcome each visitor in a friendly, warm and professional manner
  • Answer each incoming call in a friendly, professional and knowledgeable manner
  • Distribute incoming calls to the appropriate staff members and delineate adequate and accurate information to the right person(s)
  • Determine each visitor's purpose in a pleasant manner and promptly notify the appropriate staff member of their arrival
  • Schedule appointments and follow up on items as deemed necessary by Franchise Owner
  • Inventory and stock of items for the front office postage, fax, copy machine and misc. office supplies, training materials and ordering as needed and appropriate
  • Maintenance and cleanliness of the front office and applicable areas to ensure a clutter free environment
  • Enter and maintain accurate client and CAREGiver records in the operating system
  • Communicate client and CAREGiver concerns or problems with owner or other staff members as appropriate
  • Collecting and dropping off mail, daily. Organizing and distributing the mail for the office and appropriate office staff
  • Ensure Home Instead Senior Care standards are met and upheld
  • Maintain regular attendance at the office to execute job responsibilities
  • Demonstrate open and effective communication with owner, colleagues and CAREGivers

 

Requirements:

  • High school graduation or the equivalent
  • One year or more of related business experience, telephone customer service training, switchboard and or call center training required. Associates or high level of experience or education related to business or similar field preferred.
  • Must possess a valid driver's license and current automobile insurance
  • The ability to demonstrate excellent oral and written communication skills and the ability to listen effectively
  • The skills to work independently, maintain confidentiality discretion, integrity and fair-mindedness consistently as well as uphold company standards, practices and policies and procedures. information and meet deadlines.
  • Must have knowledge of the senior care industry. CAREGiving experience highly desirable!
  • Must have the ability to organize and prioritize daily, monthly and yearly work
  • Must be able to establish good working relationships with management, colleagues, franchise owners and their staff as well as present in a professional manner
  • Must present a professional appearance and demeanor
